The role is to support the administrative matters and working closely with the Team Lead for Social Work Coordinators while reporting to the Head of the department.

Responsibilitite

• Manage all duties related to managing the public-facing part of the department
• Manage enquiries from patients and family members over the counter, phone and email.
• Support administrative needs of the department required for daily running of the services and in support of SWC and MSW services
• Support the department in generating and analyzing monthly reports.
• Support operational needs of the department by working with internal and external stakeholders and communicating and maintaining work processes

Requirements

• O Level, ITE Graduates – Nitec & higher Nitec
• You will be required to use Microsoft Office effectively and to learn other information systems which the department is using.
• You will also need to be bilingually effective and work closely with a variety of stakeholders.
• Good communication skills will be crucial.

Responsibilities:

Fees and Other Payments

• Collect and follow up with parents on monthly student care fees
• Prepare receipt for payments
• Submit fee collections and relevant documents to HQ Finance
• Collection of holiday outings fees and prepare relevant documents

Enrolments / Withdrawals

• Handle parents’ enquiries, process students’ enrolment / registration and withdrawal
• Collect and verify all necessary documents, including SCFA subsidy documents (subject to eligibility)
• Ensure all students’ information are recorded and filed accurately

Filing & General Administration

• Prepare, maintain and file accurate records of students’ attendance / enrolments / withdrawals / SCFA subsidies and MPP sessions
• Update students’ files, ensuring confidentiality and compliance with data protection regulations
• Prepare staff meetings minutes and put up notices, etc
• Conduct monthly stock check for Centre’s items, e.g. uniform, stationery, food necessity, etc
• Prepare requisition orders for Centre’s items, e.g. uniform, stationery, food necessity, etc
• Handle and process internal and external correspondences (phones, emails, letters and documents, etc)
• Maintain a well-organised, safe and clean Reception Area

Others

• Daily supervision of students’ safety
• Assist in classroom duties as and when required
• Assist in all Centre functions / events and other administrative support as and when required
• Any other duties or projects assigned by the Centre Manager / Senior Teacher

Requirements:

• Minimum GCE ‘O’ Level
• Proficient in Microsoft Office (Words, Excel, PowerPoint)
• Preferably with 1-year work experience in educational industry and familiar with LittleLives system advantageous
• Candidate with prior experience from student care centre will be an advantage
• Good team player with interpersonal, communication, organizational and multitasking skills
• Patient in dealing with children

Working hours: Monday to Friday: 12.30pm to 7.00pm
