AR Receivable

• Ensure Invoices are correctly billed.
• Generate RMA, Debit Note and Credit Note to customers.
• Update receipts from customers.

GL and Reports

• Update bank book and prepare monthly reconciliations.
• Conduct monthly physical inventory.
• Ensure accuracy of Monthly Inventory reports and reconciliations.
• Verify and process staff claims.
• Ensure all Import/Export Permits are complete.
• Prepare GST quarterly reports.
• Prepare and ensure monthly reports are submitted in a timely manner.
• Prepare audit schedules, fixed assets register, and management reports for auditing.
• Generate/prepare supporting reports to confirm the accuracy of Management and Financial Reports.

Others

• Assist in other accounting duties when necessary.
• Provide general administrative support and other duties as needed.
• Other general responsibilities.

Job Requirements:

• Minimum Diploma in Accounting/Finance/Business
• Minimum 1 to 2 years of relevant experience
• Proficient in Microsoft Office – Word, Excel, and PowerPoint
• Experience and knowledge in ERP and QuickBooks will be added advantage.

Who you are:

• You'll have minimum 3 years of experience in Administrative & Operations , preferably within the recruitment industry
• Experience with Microsoft Office including Outlook, Excel, Word and PowerPoint. OneDrive, SharePoint and Salesforce would be advantageous but not required
• Excellent time management and planning skills, with a good attention to detail and the ability to remain calm under pressure
• Able to communicate effectively both internally and externally in both written and verbal forms, with strong relationship management skills

What will you be doing :

• Execute regular database cleansing activities to ensure data accuracy
• Assist in the preparation of client packs and company presentations, ensuring accuracy and professionalism.
• Update and run reports as required by the team, providing valuable insights through data analysis.
• Handles general placement administration including compliance checks, system updates, reporting and providing invoicing support
• Uploading terms of business to the database and distributing where appropriate
• Assist and support in the coordination of company events.
• Carrying out general administrative requests where required
• Ensure compliance with MOM requirements relating to quarterly CV submissions
• Manage all incoming switchboard calls in a professional and efficient manner.
• Sort and send company post, and arrange courier requests when necessary.
• Handle the binding and filing of documents to maintain an organized office environment.
• Be the first point of contact for office visitors, maintaining reception and meeting rooms to a presentable and professional standard.
• Order company gifts, office stationery and general office supplies
• Assist in setting up desks for new starters and contribute to the onboarding process.
• Communicate and liaise with suppliers and building management as required.
• Assist with ad hoc projects as directed by the Regional Operations Manager and/or the Head of Operations

Responsibilities:

• Handle daily operational AP/ AR / bookkeeping tasks
• Responsible for AP invoice and payment processing via internet banking/Cheque
• Responsible for billing of revenue and keeping track of billings
• Process general office and staff claims
• Review and check vendor invoices received and liaise with relevant party to follow up with supporting documents and approval and resolve any discrepancies
• Assist the preparation of full set of account and monthly schedules for balance sheet and income statement
• Preparation of monthly management presentation
• Preparation of quarterly GST filing with IRAS
• Responsible for keeping a proper record of the Company board resolution, arranging for signatures and liaising with the Company secretary
• Liaising and preparation of information to meet external audit requirements
• Assist in administrative matters of the Company
• Perform any other ad-hoc duties assigned when required

Job Qualifications:

• Diploma in Accounting/LCCI or equivalent
• Minimum 1 to 2 years of working experience in a Finance/Accounting role
• Proficient in MS Excel
• Meticulous and attentive to details
