Operations Executive (Customer Service)

The Operations Executive (Customer Service) is responsible for the execution and control of the full spectrum of customer support functions - customers’ order processing, delivery management and order management.

Responsibilities

1) Order Processing

• Perform shipment coordination for export orders with inter-companies and overseas customers.
• Acknowledge customer's order (if required), entering order into system, invoicing, establish the most cost effective and efficient delivery arrangements with the necessary documents (eg. Certificate of Analysis / Compliance and end user license etc).
• Rectify customer's feedback on ordering, billing, deliveries discrepancies, and complex problems which require independent action to correct and/or prevent.
• Manage sales team enquiries (such as stock availability) and customer delivery coordination of orders and follow-up.

2) Shipping Documentations

• Prepare shipping documents for export and drop shipment orders, include inter-company sales.

3) Customer Relationship Management

• Manage key accounts program with sales team, maintain the relationship with customers.

4) Compliance and Best Practices

• Update all relevant SOPs (new and/or existing) as assigned.
• Responsible for putting to effect work process improvements in accordance with SOP.

5) Reporting

• Monthly reporting (AR Aging above 90 days, KIV PO and Expiring Inventories within 6 & 9 Months for Follow Up Plan).
• Maintain an effective reporting system to ensure minimum error in operations and advocate cost-saving measures to maintain a lean management philosophy.
• Ensure KPIs meet accordingly for self and the team members.

6) Others

• To participate in digitalization transformation projects as assigned.

Pre-requisites:

• Degree holder in Business Administration, Supply Chain Management, or other Business related discipline

Job Description

As a Senior Scientific Officer, you will be tasked but not limited to planning and executing the grant-making process, annual budgeting, exploring funding opportunities, and managing documents and deadlines. You will need to provide consultation and administrative support to Programmatic Theme Leads, Principal Investigators and other faculty on operational and grant related matters. You will serve as liaison with NUS research offices, Office of Legal Affairs, Industry Liaison Office and external funding agencies on issues of intellectual property, project and research collaboration agreements, MTAs, NDAs, etc. You will also be working closely with the Outreach, HR and Finance department on grant administrative and research events.

Duties and Responsibilities

Research Grant Management and Coordination

• Assist with grant applications and managing the review process with proper documentation on IRB/ DSRB, IACUC ethics/safety & risk protocols, regular progress/ appraisal/ other research regulatory requirements
• Promote the development of external funding strategies for research, academic projects, and institutional priorities
• Provide resources and assistance to faculty, staff, and administrators in searching for external funding opportunities, budget preparation and updating biosketches of Principal Investigators
• Assist with preparation and submission of requests for external funding, including grants, sub-awards, and contracts
• Ensure that policies and procedures for compliance with research-related regulations are up-to-date and reviewed regularly.
• Provide bibliometrics on research grants as required

Research Program & Project Management

• Provide strategic input for the development of proposals for project and budgeting
• Develop, manage, and evaluate research themes through direct collaboration with Principal Investigators, clinicians and Theme Leads to strengthen the strategy for each of the projects and coordinate these toward building a cohesive program
• Coordinate the development and maintenance of effective research themes group communication systems
• Preparation of budgets for research grants, virements and tracking of grants
• Planning and scheduling of research meetings, writing meeting minutes and coordinating research/other meetings as well as following up decisions made and other necessary actions as required
• Ensure good and tidy document housekeeping and timely correspondence:
  Maintain letters of award, approvals, amendments, etc.
  Maintain grants data and progress reports

Qualifications

• At least PhD in Life Sciences, Medicine, or related field
• Preference will be given to candidates with experience in:
  Science Project Management
  Research Grant Management or Administrative
  Scientific legal matters e.g., MTA, service agreements, RCA, patent filing etc.

About The Job

This position is part of the Student Services (SS) department within Office of Academic Services (AS) serving as the first point of contact for students and alumni and enhancing the overall student services of the University. SS manages the SS hotline, counter, written correspondences, and administration of Electronic Course Evaluation (eCE) surveys to foster a student centric service environment.

The candidate will support SS day-to-day operations, manage the SS Quality and Training related initiatives, assist with survey administration, and contribute towards the overall enhancement of SS service ecosystem.

What You Will Be Doing

Operations (40%)

• Monitor and supervise day-to-day student services operations, manage students’ enquiries, requests, and feedback across all touch points that are received through channels such as phone, email, and walk-in.
• Manage a team of 2-3 officers and/or senior officers, providing guidance to team members on handling student feedback, especially for challenging and complex situations.
• Identify issues/opportunities for improvement, highlight follow-up and participate in deployment of process improvements or enhancements.
• Collaborate with internal stakeholders (schools and other admin departments) to assess/investigate complex cases, appeals or exceptional requests from students and provide a satisfactory resolution within a stipulated/reasonable timeline.

Quality Assurance & Training (20%)

• Performs quality transactional monitoring.

Job Requirements

• At least 2 years of supervisory experience in customer service, preferably in a contact centre environment.
• Professional Qualifications in Contact Centre, Quality Assurance and Training (e.g., COPC, ACTA, etc.) will be an added advantage.
