Administrative Support
· Liaise and communicate with Ministry HODs, Leaders and Council Members and on operational matters, supporting them administratively when necessary;
· Update Commissioner of Charities and Registry of Societies with regards to any changes in TOC’s constitute/Council Members/Address etc;
· Liaise with vendors/contractors on the upkeep of the premises e.g. electrical license renewal, monthly maintenance of lift and escalator, yearly lift load testing for license renewal, half-yearly air-condition servicing, security systems etc;
· Responsible for accurate and timely payroll computation and statutory payments of CPF, IR8A etc;
· Responsible for the submission of government claims such as paid childcare leave, maternity leave etc;
· Update and facilitate yearly renewal of insurance eg. Group H&S, Group Term Life, Group Personal Accident, Business and Work Injury Compensation;
· Provide secretarial support to GM/ Office Manager;
· Oversee the daily administrative duties to ensure the smooth operations of TOC;
· Support any other ad hoc duties as assigned by the GM /Office Manager.
Accounting work
· Manage full set of accounts, including preparation of monthly and annual financial reports;
· Record and process all transactions in MYOB accounting system on a timely basis;
· Perform monthly bank reconciliation;
· Prepare all month-end closing-related activities and reports, and submit them in a timely manner;
· Process expense claims and payments, including verifying invoices and receipts, preparation of payment vouchers and obtaining the approval from Council Members;
· Ensure accurate preparation of payments and they are processed within stipulated period;
· Manage external reporting and banking requirements when required;
· Maintain proper documentation and filing system, and ensure the integrity of financial reporting records and statements;
· Prepare audit schedules and liaise directly with the external auditor to ensure successful completion of audit for the financial year, and in time for the Annual General Meeting (AGM).
· Prepare notice and registered members listing for AGM.
Requirement:
· Minimum Diploma in Accountancy, with experience in full set of accounts;
· Min 2 years of relevant working experience;
· Proficient in Microsoft Excel, Word, PowerPoint and MYOB accounting software;
· Responsible and take initiative to follow up on tasks;
· Ability to work independently with minimal supervision.
· Good verbal and written communication in English language;
· Meticulous, positive attitude and willing to learn.
Must work on 2 full weekday and every Sunday from 9am to 3 pm &
