Role Purpose

To be responsible for the safe and efficient operation of designated Fleet of ships, reporting to the Fleet Director.

Role Accountabilities

· Be a visible driving force in promoting safety of crew members and all who may work on designated vessels, from stevedores to contractors, pilots to shipyard workers.

· Ensure that ships always meet statutory, class, flag state and environmental requirements as well as regional requirements where vessels may trade.

· For technical, operational and budgetary control of designated fleet of ships.

· Responsible for Fleet dry-docking.

· Monitor designated Fleet’s planned maintenance, inventory and purchase orders to ensure the Fleet ships are properly maintained and that sufficient spares are carried onboard to deal with planned maintenance and critical machinery breakdowns.

· Keeping the Fleet Director informed of Fleet performance and bringing this attention any areas if of concern within the Fleet.

· Carry out Fleet manager’s ship visits when appropriate, to monitor condition and performance providing advice to the ship manager when required.

· Working with and ensuring the FSSEM is kept fully informed of all shipboard defects and non-conformance matters relating to items of safety, critical equipment, security and pollution prevention.

· Liaising closely with SPSM on crew matters to ensure that appropriate officer and crew skills are deployed for the particular ships in the Fleet.

· Where necessary and in consultation with FSSEM, conduct internal audits of the ship’s safety system to ensure compliance.

· Participate in Safety Management System and Environmental review meetings.

· Dealing with non-conformities covering designated Fleet ships and, liaising with FSSEM to ensure corrective action is applied.

· Liaising with FSSEM and Ship Manager to investigate accident reports, machinery failures and any insurance claims; ensuring that corrective action is applied.

People Management

· Lead employees to meet the organisation's expectations for productivity, quality, and goal accomplishment.

· Provide oversight and direction to the employees in the team in accordance with the organisation's policies and procedures.

· Plan staffing levels and work with Human Resources to recruit, interview, select, hire, and employ the right people within budgetary guidelines.

· Assist HMQA/DPA in review and upkeep of company’s safety management system to maintain it up to date with new regulations and changing requirements in line with industry best practices.

· Monitor fleet safety and quality performance and determine indicators and trends through analysis of data from internal audits, navigation audits/assessments, PSC inspections, accidents /incidents, near miss reports and safety observations.

· Analyse fleet safety performance data to identify training needs of seafarers.

Position Summary Statement

Direct, monitor and supervise the day-to-day activities of all sections within the Front Office and other services rendered by other operational departments of the Hotel, including the Business Centre, and to ensure smooth operations and customer service satisfaction in line with the established standards and policies of the Hotel.

Primary Responsibilities

a) Supervise sections in Front Office, such as reception, cashier, telephone, reservation and baggage services. Monitor the junior staff’s conduct and job performance and to ensure that all staff project a positive corporate image to guests.

b) Ensure that guests are attended to with promptness, courtesy and efficiency and that guest complaints are handled with tact and diplomacy. Assist in checking in / out of guests.

c) Assist to inspect rooms assigned to VIPs before their arrival. Meet and escort the VIPs to their rooms and ensure that the complimentary amenities are provided. Ensure that GM, Secretary, Sales and other relevant Departments are informed of the VIPs.

d) On commencement of shift to check Log Book for messages and follow up actions. Ensure keys in his custody are issued only to authorised personnel. Initiate

correspondence regarding enquiries, reservations, and complaints. Check housekeeping discrepancy report; report any variance and take corrective actions.

e) Perform duties pertaining to security such as directing guests reporting incidents, thefts, or any offences to the Security department for assistance and handle matters concerning guest’s undesirable conduct in rooms / public areas or undesirable persons loitering around in co-ordination with the security department.

f) Maintain cash float amount in accordance with expected occupancy. Authorise rate and room changes, paid outs, cash advances, acceptance of cheques according to procedures and credit policies.

g) Responsible for training of all reception staff including planning, organising and conducting OJT.

h) Conduct spot checks on the outlets in the absence of Outlet Manager.

i) Monitor room inventory closely to ensure maximum utilisation of rooms to generate higher revenue. Assist to maximise revenue and occupancy from group allotments.

j) Directly responsible for the evacuation of staff and guests during a fire in the absence of the Safety & Fire Manager.

The Senior Sales Manager reporting to Director of Sales is responsible for identifying, developing and managing accounts within specific segments and develop new accounts or business opportunities within corporate travel industry/leisure generating and maximising business potential of designated portfolio through daily sales activities.

The Senior Sales Manager will assist the Director of Sales to accelerate corporate, MICE or Leisure client base by expanding the hotel’s business through executing the developed strategic plans to drive measurable and incremental sales revenue meeting revenue targets set within PPHG group. This position requires an excellent communication skill, both written and verbal and to have a proactive and growth mind-set to work towards a successful hotel sales strategy.

Primary Responsibilities:

Business Development

1. Identify business trends and marketing opportunities that can improve the various hotels performance under PPHG to the Director of Sales and Marketing/Director of Sales
2. Continuously solicit for new business that expands our client base using action plans focused on the corporate and travel market segment identified by the Director of Sales & Marketing/Director of Sales
3. Develops and maintains contact with business partners, travel agents, airlines, corporate accounts, closely aligned to hotel business Prospecting and growing an account list, handling incoming leads and closing sales
4. Aware of sales strategies and goals when selling to negotiate optimum room rate for the benefit of the hotels’ business, sell facts and UPs of the hotel with a view to optimizing opportunities for revenue growth, monitors existing business and share sales strategies during sales/revenue meetings to maximize opportunities to achieve budget goals
5. Plan, execute and follow-up on sales trips as approved
6. Practice professional account qualification on a consistent basis (i.e., measure budget needs, date flexibility, space requirement, competitive information etc).
7. Attend tradeshows, travel functions, major business functions or as required/directed by the Director of Sales & Marketing/Director of Sales
8. Organizes familiarization of hotels and their facilities with clients and potential ones.
9. Responsible for an assigned sales target in accordance to Cluster segmentation - Work closely with each salesperson and identify opportunities and ways to maximize and exceed personal and team revenue goals

General

1. Support and assist in the development of the annual Business Plan, Hotel Budget and Marketing Plan as requested by the Director of Sales
2. Create excellent client relationship through attention to detail; prompt follow up and empathy for customer perceptions and needs whilst maintaining professionalism
3. Prepare periodic sales reports showing sales volume, potential sales, and areas of proposed client base expansion
4. Take ownership of daily sales activities and maximize the productivity by following a system of weekly and monthly action plans
5. Actively assist the Credit Department in follow-up of overdue accounts
6. Other duties assigned by the Director of Sales & Marketing/Director of Sales when required from time to time

Summary

This position is responsible for sourcing equipment, goods and services and managing vendors. He/She has to act professionally in all activities involved in obtaining materials at minimum costs.

Job Responsibilities

• Obtain quotations and ensure that it includes freight and delivery to the Hotel.
• Buy without prejudice, seeking to obtain the maximum ultimate value of each dollar of expenditure.
• Co-operate with all organizations and persons engaged in activities designed to enhance the development and standing of purchasing.
• Keep records of a purchasing development such as Purchase record, Vendor Record, Blueprint and specification record, print forms record
• Provide reports based on market research/surveys, price fluctuations, comparative analysis of prices, etc.
• Cultivate a sound supplier relationship.
• Prepare and analyze financial planning for both short-term and long-term.
• Prepare annual budget and compare actual results with the projected. In addition, also investigate discrepancies.
• Prepare cash and fund flow, including planning for cash management.
• Manage bids received across suppliers.
• Attend all briefings, meetings and trainings as assigned by management.
• Perform other duties as directed by the management.

Qualifications / Requirements

• Minimum 3 years of experience in Purchasing/ Procurement, preferably in F&B or Hospitality.
• Projects professional image at all times through personal presentation / interpersonal skills.
