We are inviting applicants for the position of Personal Assistant who shall report to the Head (Human Resource). The scope and requirements are as follows:

We require the Personal Assistant to be highly organised and proactive in providing comprehensive support to our Senior Management team. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. Roles and Responsibilities:

• Calendar Management of Senior Management including travel management and planning
• Organise and schedule meetings and events, including arrangement of venues, preparing agendas and materials
  
• Assist in the preparation of reports, presentations, and other documentation as needed. Ensure all materials are accurate and delivered on time.
• Minutes taking and ensure timely follow up on action items
• Act as the primary point of contact between Senior Management and internal/external stakeholders, i.e. handle phone calls, emails and correspondence.
• Provide administrative support, including email correspondence, document management, admin building, pantry, facilities logistics, events planning and setup
• Other admin duties – obtaining supplies, sorting/distributing mails, general office administrative tasks.

Assist the Operations Manager in managing the Building Services & Tenant Management (BSTM) operations at One Raffles Place, aiming to exceed Grade A office building standards.

Job Responsibilities:

• Develop and manage daily operations to ensure high standards and compliance with service levels.
  Create policies to enhance operational efficiency and productivity.
• Improve SOPs and departmental BCP.

Job Requirements:

• Degree in Building Management, Facilities Management, or equivalent from a reputable institution.
• At least 5 years of supervisory experience in estate/property management, preferably in large commercial or retail buildings.
  Experience managing tenants in Grade A office buildings.
• Competence in reading and understanding technical/structural drawings.
• Strong business acumen and managerial leadership qualities.
