JOB PURPOSE

Reporting to the Chief Executive Officer (CEO) and working directly with the Governing Board, the Executive Assistant (EA) is actively responsible for supporting the daily administrative & operational needs of the CEO’s office and managing the CEO’s office. The EA will also function as the Secretariat to the Board and may, where necessary, communicate directly to the Governing Board in matters concerning scheduling of Board meetings and discussions. The EA may work directly with HODs and management.

RESPONSIBILITIES

Executive Support

• Assists the CEO with daily administrative duties and completes a broad variety ofadministrative tasks that include managing an active calendar of appointments.
• Communicates directly and on behalf of the Chairman/CEO with Board members, donors, foundation, staff, and others on matters relate to programmatic initiatives as directed by CEO.
• Supports the CEO in liaising with Board members or committees for Matters Arising, following through all actionable items, updating the records.

Board Support and Liaison

• Coordinate Quarterly Board meetings, maintain confidential files and contact information; conferences, and committees both on and off site to support the Chairman’s and Governing Board’s agenda.
• Supports Nomination Committee / Hon Secretary in maintaining a Register of members, Board succession planning (including keeping track of expiry dates of appointment of Board and Committees) and compliance with Charity Unit (MCCY) filing requirements.
• Assist Chairman to draft letters, including letters of appointment to Board and Committee members.

HR and Admin Support

• Assist with HR-related admin matters e.g. leave module management
• Assist in Corporate Office admin matters on an ad-hoc basis

QUALIFICATIONS

• Working knowledge of Singaporean IPC/charity sector
• At least 3 years of overall experience, with CEO and Board support experience and testimony of being a team player.

Duties and Responsibilities

· Handle full sets of accounts (AP, AR, GL)

· Handle daily operational AP/AR tasks including invoicing, statement of accounts and follow-up on aged receivables, payment and staff claims.

· Manage and responsible monthly cash flow.

· Assist with month-end closing activities (bank reconciliation, BS schedules and audit schedules), intercompany reconciliation, quarterly GST submission and income tax filing process

· Prepare analysis of accounts as and when required.

· Maintain fixed assets register.

· Follow up on overdue invoices and payments and implement company collections procedures as necessary.

· Maintain good documentation and filing system.

· Assist in the preparation of budgeting and forecasting.

· Preparation of financial statements to meet statutory requirements and in compliance with the FRS will be added advantages.

· Liaise with auditors, tax agents, & bankers as and when required.

· Ad-hoc duties as assigned.

Requirements

· Diploma in Accounting/ ACCA or equivalent.

· Minimum 3 years of relevant working experince in AP/AR/GL & preparation of financial statements.

• Assist in stock count, inventory control, and maintain fixed asset register
• Prepare audit schedules and assist in management schedules and reports
• Perform periodic bank reconciliation and supplier reconciliation

Requirements

• Possess at least a Diploma in Accountancy or equivalent
• At least 2 years of related working experience, preferably in Construction or Manufacturing industry
• Fast learner with strong sense of initiative, positive attitude and being a good team player
• Able to work independently, organized, meticulous with good problem-solving and analytical skills
• Manage tight deadlines and meet job objectives timely
• Proficient in MS Excel and prior experience with accounting software or ERP system

· Manage partial set of accounts including intercompany charges, bank reconciliation, balance sheet schedules and general ledger maintenance.

· Address and resolve accounting backlogs promptly.

· Work collaboratively with the Finance teams to clear outstanding entries and discrepancies.

· Ensure accurate and up-to-date financial records.

· Assist the Finance team to provide necessary documentation and support during financial audits.

· Assist in preparing schedules and reports for external auditors.

· Effectively communicate with internal teams to gather information and resolve financial issues.

· Provide clear and concise updates on the status of backlogs and audit tasks.

Qualifications:

· Minimum Diploma in Accountancy or equivalent.

· At least 3 years of relevant working experience.

· Good understanding of accounting principles and practices.

· Familiarity with audit processes and procedures.

· Detail-oriented with a high level of accuracy.

· Proficient in using accounting software and Microsoft Excel.

· Familiarity with Xero and MYOB is a plus.

Duration:

This is a contract position with a duration of 3 months.
