• Reconcile the AR ledger to ensure that all payments are accounted for and properly posted.
• Verify discrepancies and resolve hospital's/ clinic’s billing issues.
• Facilitate payment of invoices due by sending bill reminders and contacting hospitals/clinics.
• Responsible for obtaining timely payments from clinics'/ hospitals within agreed payment terms and reducing AR outstanding.
• Any ad-hoc matters as assigned by management.
• Any other general administrative duties/ad-hoc projects as assigned by immediate supervisors.

You will assist in overseeing the digital communication for internal and external marketing, support with website updates, digital platforms and email tools of the Club and carry out an active marketing plan that will support both the Marketing objectives of the Club.

Responsibilities

• Update the website with the latest news and events in the Club.
• Bring creative ideas for the Club’s social media platforms and having an eye for photography and short videos.
• Write, edit and proofread all Club’s articles, e.g. monthly magazine and weekly newsletter.
• Proactive in finding out the Club’s major events for the month and ensure they are covered in the Club magazine and online.
• Work closely with the Graphics team on the layout designs, colours, schedules and production of the magazine, other literature and brochures.
• Ensure sufficient and relevant information is featured in the appropriate issue of the magazine and to work with contributors, convenors and departments to collate copy and photos for each issue.
• Assist in the production of the Annual Report.
• Work with respective Managers on the concept of all promotional materials, Production of the materials to ensure consistency in the design and brand of the Club.
• Maintain and manage the Club’s photo library.
• Facilitate photography for major Club events.
• Organise promotional materials such as banners and notices.

Requirements

• Degree/Diploma in Marketing Communications / Digital Marketing with at least 2 years’ experience in a similar capacity or creative role. Previous work experience in the hospitality industry and Club experience would be an added advantage
• Possess excellent command of English, proof reading and editing skills
• Competent in website design and maintenance
• Knowledge of media production, communication, and dissemination techniques and methods
• Able to understand and interpret materials well
• Go-getter with an eye for detail and a meticulous mind, coupled with superb multi-tasking skills
• Excellent attention to detail and results oriented

• Able to manage large volume of shipping documentations accuracy checking for compliance and audit purpose
• Ensure complete and accurate switched shipping documents, including vendors’ documents, received from bonded provider to be e-filed for purchase and sales recognition (system vs. actual vs. data interface received at accounting), and audit purposes
• Check accuracy for submissions related to non-trading and payment for Navision invoices received from bonded provider for submission to accounting
• Ensure Original Navision invoices with authorized signatory are dispatched to the correct parties, where applicable
• Check accuracy of monthly insurance declaration for submission to Accounting
• Check accuracy of operational freight invoices payable by Singapore within the month, where applicable
• Ensure correct GST classifications for reporting and confirmation to Accounting
• Communicate and follow-up with relevant parties for monthly overdue accounts payable and accounts receivable status list for payment schedule
• Manage operational fixed assets status with relevant parties for up-to-date status, and annual report coordination
• Ensure countermeasure and follow-up for operational issues related to payment from bonded provider to eliminate recurrences
• Study and implement new initiatives/projects as assigned by Manager

Requirements:

• Min 3 - 4 years of relevant working experience
• Basic knowledge in Trade Compliance related; Managing payment invoicing knowledge or experience
• Intermediate excel, PowerPoint presentation & reporting
• Ability to travel (mainly ASEAN countries)
