DUTIES AND RESPONSIBILITIES

• Developing and implementing supply chain strategies, policies and procedures to optimize efficiency, reduce costs, and improve overall performance.
• Managing the procurement process.
• Sourcing suppliers, negotiating contracts, quotation comparison and ensuring timely delivery of goods and services.
• Monitoring inventory levels to ensure optimal stock levels while minimizing carrying costs.
• Weekly updates, annual stock-taking, forecasting, coordinating with suppliers and other department to ensure timely replenishment and implementing inventory control measures.
• Overseeing the movement of goods, ensuring efficient transportation, warehousing, and distribution processes.
• Collaborating with sales and marketing teams to understand market demand, analyze historical data, and develop accurate forecasts.
• Effective communication and collaboration between various departments.
• Lead the logistic team and collaborate with internal and external stakeholders.
• To fully take charge of all procurement activities in the company such as:
  • Sourcing suppliers and compare quotations, negotiate with suppliers
  • Review and process purchase requirements
  • Ensuring timely delivery of goods and services
  • Issuance of purchasing related documents such as Purchase Order
  • Prepare and maintain proper filing and records of all purchasing related documents
  • Check and match and verify suppliers’ invoices, delivery orders, and other supporting
  • Review, compare and evaluate products and services
  • Establish and maintain a good relationship with suppliers
  • Check and reconcile stock report if there are any discrepancy
• Constantly research and evaluate new prospective suppliers.
• Work hand in hand with store and operational staffs on their requirements.
• Check data entries enter into system by Store Assistant.
• Assist Admin in any administrative document.
• Assist in key in purchase invoices.
• You may be assigned to new duties/responsibility from time to time.
• Any ad-hoc or other duties.

1. Monitor call, traffic volume & allocate resources based on situation/requirement
2. Gather, monitor, analyze & validate data in reports
3. Check and verify drivers' trip forms with deployment
4. Attend to customer's enquiries relating to documents for example, delivery receipts and witness/declaration forms
5. Planning & development of prime mover driver processing Portnet & Jurong Port online
6. Responsible for vehicle maintenance and repair status
7. Prepare and check all shipping documents to ensure they are complete and comply with customers to ensure deliveries are fulfiled
8. Ensure all drivers are aware of specific customer requirements and monitor GPS tracking system to keep track of the progress that drivers make along the assigned routes
9. Prioritize urgent request and deliveries are made on time
10. Monitor driver movement to ensure they meet the given KPI
11. To standby / handle 24/7 phone (rotation) during operatios
12. Handles customer feedbacks, other administraive issues and perform any other duties as required by Transport Manager
13. Able to hande huge fleet of Prime Movers and drivers

Qualifications and Education Requirements:

• GCE 'O' Level or Diploma holder on Logistics / Supply Chain Management
• At least 3 years relevant experience in 3rd party logistics, preferably in Traffic Planning & work force Planning & Allocations
• Good communication skills (both verbal & written) and excellet organizational abilities
• Capable to work independently
• Able to work under pressure during peak periods & willing to take responsibility and accountability of their role
• Capable of ifentifying and suggesting improvements
• Willing to work on 24/7 stand by to answer agent/slient query on supply status
• A team player as we work closely with team members
• Excellent Microsoft Office skills: PowerPoint Presentation, Excel & Word

• Responsible in handling partial Account Receivable and Account Payable
• To ensure smooth flow in daily recording for banking collection & payment transactions
• Assisting in monthly general ledger journal, schedule and closing activities

Requirements

Accounts and Admin Assistant

Job Responsibilities

• Support finance, project and operations Team in general admin duties.
• Able to prepare a full set of accounts and a good understanding of double entry.
• Familiar with preparation of customer quotations and sales orders to support finance, project and operations activities.
• Tracking of customers quotations, sales orders and project delivery schedule.
• Maintain proper documentation of finance, project and operations control.
• Other duties as assigned from time to time by superior.

Job Requirements

• Minimum GCE ‘O’ level.
• Proficient in MS Office applications such as Excel, Windows and Power point.
• Preferably familiar in Xero accounting software and MurHo Inventory management system.
• Able to work independently for tasks and support finance, project and operations team in the execution of projects, operations, accounting and administrative duties.
• Prepared for interdepartmental transfer within the Sea Forrest Group of companies for job rotation roles in finance, projects and operations.
• Able to communicate effectively in English.
• Pleasant personality with a positive attitude and a willingness to learn.
