We are seeking two Admin Assistants to join our team, providing essential support across different departments in the company. The ideal candidates will have strong organizational skills, the ability to multitask, and a proactive approach to problem-solving. You will play a key role in streamlining administrative operations and ensuring effective communication between departments.
Key Responsibilities:
ā¢ Provide administrative support to office and production teams.
ā¢ Manage incoming calls, emails, and correspondence, directing them to the appropriate departments.
ā¢ Assist in scheduling meetings, managing calendars, and organizing travel arrangements.
ā¢ Maintain filing systems and ensure data is accurately recorded and stored.
ā¢ Handle inventory tracking for office supplies and production materials.
ā¢ Support documentation related to engineering production, such as preparing and filing reports, production logs, and safety records.
ā¢ Assist with procurement processes, including liaising with suppliers and vendors.
ā¢ Coordinate with the engineering team to facilitate smooth workflow between office and production departments.
ā¢ Perform general administrative duties such as data entry, photocopying, and document management.
ā¢ Perform other ad hoc tasks as requested by the company.
Qualifications and Skills:
ā¢ Minimum O-Level education or equivalent.
ā¢ Strong organizational and time management skills.
ā¢ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
ā¢ Proficiency in Mandarin Chinese and English.
ā¢ Excellent written and verbal communication skills.
ā¢ Ability to work both independently and as part of a team.
ā¢ Basic knowledge of office and production environments is preferred, but not required.
ā¢ Attention to detail and a commitment to accuracy.
ā¢ Problem-solving skills and a proactive approach to work.
