RESPONSIBILITIES

Responsible for matters relating to invoice processing in the Microsoft Business Central (MSBC) system.

• Receive invoices in both hard and soft copy formats from suppliers.
• Validate purchase order (PO) number in Microsoft Business Central (MSBC) for invoices with PO reference.
• Scan suppliers’ invoices into invoice scanning system.
• Verify the accuracy of information captured by the invoice scanning system.
• Address and resolve issues or queries related to the scanning process.
• Manage suppliers' invoices as delegated by the Senior Manager, including resolving discrepancies, performing 3-way matching, and addressing queries from both suppliers and internal customers.
• Assist the Senior Manager in communicating with the purchasing team to resolve discrepancies in suppliers' invoice matching to POs.
• Arrange payments to suppliers.
• Perform audit checks on tolerance level for invoices matched to Pos.
• Perform monthly reconciliation of Suppliers’ Statement of Accounts.
• Assist the Senior Manager in creating of suppliers in MSBC.
• Handle Filing and other administrative tasks.
• Actively participate in enhancing departmental procedures through continuous improvement initiatives.
• Undertake other ad-hoc duties as assigned.

• Minimum LCCI/Diploma in Accountancy.
• Preferably with at least one year of Accounts Payable (AP) working experience.

Job Responsibilities

• Understand the vision and strategies of IT Management to plan and implement initiatives accordingly.
• Propose and develop processes for new initiatives and operationalize them to improve the IT organization.
• Promote centralization initiatives across different teams in the Asia Pacific region to optimize resource utilization and improve process efficiency.
• Establish and maintain central contract registry and contract repository for the IT organization.
• Support vendors onboarding and contract engagement processes including to perform contract classification, risk assessment and materiality check etc.
• Understand the bank’s local and Head Office rules, and local regulatory requirements (e.g., PDPA, MAS Outsourcing Guidelines etc) on vendor engagement and service outsourcing to ensure all due diligent check are performed.
• Liaise with stakeholders, vendors, IT Project Managers and Legal & Compliance department to review clauses in new contracts to ensure all clauses, including both legal and commercial terms are acceptable.
• Contract owner to onboard and manage the contract of onshore and offshore vendors with multiple sub-contracts.
• Perform regular review and due diligent check on existing vendors and sub-vendors.
• Establish procurement process and guidelines for IT Department, including RFP and tendering process.
• Establish rate card for standard goods and services as a benchmark for IT organization.
• Perform analysis on procurement pattern base on procurement history and contract registry to seek benefit from vendor consolidation.

Job Requirements

• Diploma or bachelor’s degree in a relevant field such as Information Technology, Business Administration, Law, Finance, or Procurement with min. 5-7 years of related work experience
• Experience in a centralized contract management function is a must
• Good understanding in contract management process and able to understand general contract terms
