Recruitment (Blue collar to Executive positions)

• Manage all aspects of the recruitment process, including pre-screening, on-site interviews, offering of employment and onboarding
• Identify, attract and source hard-to-find passive talent using different niche sites/online channels and other social platforms and professional networks
• Design job descriptions and interview questions that reflect each position’s requirements
• To organize and participate in the relevant career events and local job fairs to broaden the hiring needs
• Liaise and work closely with the hiring manager on recruitment needs and deliver consistent and timely manpower results
• Manage and prioritize and close jobs in a timely and effective manner
• Research and apply strategic recruitment and retention policies to meet HR goals and mission
• Review, recommend and administer retention/reward/employee benefit schemes for the organization
• Prepare and/or collate HR reports, manpower forecasts
• Responsible in the drafting and releasing of various HR letters to staff involved (e.g. Letter of Appointments, Extension Letters, Acceptance of Resignation Letters etc.)

Human Resource

• Process work pass applications, issuance, renewal and cancellations.
• Process submission of IR21, IR8A, Work Injury, Maternity/Paternity/Childcare leave, NS-pay, CPF and other Government Claims.
• Support training related matters including coordination or enrolment of internal & external courses, update & maintain training record etc.
• Maintain accurate HR database and up-to-date employee’ records (Pfile and lark account) for accurate reporting.
• Handle staff leaves, claims and renewal of insurance (WICA, Medical Insurance, etc.).
• Assist with annual salary review/appraisal and bonus exercises (Blue collar to Executive positions).
• Handle all employee inquiries or grievances on HR-related matters
• Ensure HR Policies comply with current Employment Act and Government Regulation.
• Handle employee satisfaction surveys
• Ensure office supplies and equipment are maintained including employees’ IT equipment, uniforms, stationeries, etc
• Responsible for office facilities management (maintenance and security, etc.)
• Handle company’s insurance policies, licenses, agreements / contracts, etc
• Booking or process of air ticket, visa, travel insurance and hotel accommodation.
• Manage the planning and execution of corporate events and festive packs, etc
• Support other general administrative duties such as preparing HR reports, employees’ letter, memorandums, notices, etc
• Sourcing and manage vendors to upkeep office image
• Assist in HR projects and other HR initiatives when required
• Support the team with other responsibilities as required.

Requirements:

• Min Diploma in HR Management, Business Studies, Office Administration or equivalent
• At least 2 years’ experience in recruitment and business partnering
• Well-organized, meticulous, able to multi-task in a fast-paced environment
• Positive attitude and strong in execution
• Organized, good coordination & follow-up skills
• Competent in MS Office (Excel, Word, etc.)
• Excellent interpersonal & communication skills
• Proficiency in written and spoken English & Chinese (to liaise with Mandarin-speaking counterparts)

· Review and analyze all existing vendors, suppliers, pricing and costs, so as to ensure cost effectiveness.

· To continually source for new vendor/supplier options (e.g. raw materials, equipment, supplies, etc.), to review and determine product suitability and negotiate purchase price.

· To coordinate sample product demonstration, and facilitate approval process of new products.

· Manage purchase cycle and order quantities of all items, to ensure proper management and control of inventory.

· To monitor and provide action plans to reduce inventory of expiring or discontinued items.

· To work closely with internal stakeholders and vendors to determine the product requirements and specifications required.

· Develop and implement purchasing and contract management SOPs, and to ensure adherence to the SOP guidelines.

· To review current system and to implement automation of purchasing and ordering processes.

· Maintain and update vendor and contract database and to ensure proper documentation of all purchasing and procurement documents.

· Assist in ad-hoc projects as and when assigned.

· Provide effective and efficient human resource services to support business growth and operations for all JR Group of companies.

· Appreciate business and operations requirements and challenges and to plan, organize and implement human resource initiatives to support business growth and operations.

· Work closely with line and functional heads to support them in manpower planning (including annual manpower budgeting), acquisition, deployment and monitoring of manpower level.

· Prepare and update job specifications, review and shortlist job applicants for line and functional heads to interview, follow-up with successful job candidates on job offer.

· Responsible for the Onboarding process for which includes, processing job application, ensuring that all the necessary documentation is obtained from the employee, to process the work pass application (if applicable), offer of employment, etc.

· Prepare and refresh orientation materials and conduct orientation for new employees.

· Work closely with line and functional heads to plan, initiate and organize training programs and development activities to make the employees more effective and competent.

· Responsible for shortlisting of suitable training courses for employees, liaise with the training providers and respective departments on training matters.

· To initiate, manage and coordinate all student internship matters with the various institutions (e.g. ITE, polytechnics, universities).

· To process and follow-up with the application for government grants and subsidies (where applicable).

· Any other appropriate duties and responsibilities including ad-hoc projects assigned.

• Assist in Marketing Communications of the organization, including maintenance of websites, mobile apps and social media platforms, media relations and press releases.
• Assist in the branding, communications, sales and distribution of the organization’s products & services.
• Assist in proposals, tenders and submissions of new and existing projects.
• Plan, coordinate and handle all marketing and branding exercises, trade shows and major promotions.
• To review, implement and assist in the retail and food service marketing activities when required.
• To be involved in the development of new products.
• To identify business opportunities and to develop new business.
• To conduct market and field study when required.

Job Requirements

• 1 – 2 years of work experience in relevant field
• Advanced Diploma in Marketing/ Multimedia or related field
• Good verbal communication and writing skills
• Able to draft proposals for tenders and submission
• Experience in using Adobe Photoshop
• Proficiency in MS Office
• Prior proven Marketing working experience is a plus

• Exhibit excellent communication and presentation skills, coupled with the ability to build strong relationships.
