The Education Operations Manager (EOM) is the business operations leader for an education center, managing all non-instructional functions, services, and staff so that the instructional team can maintain a concentrated focus on teaching and student achievement and maximize instructional time. The EOM ensures that the education center is managed with operational excellence and fiscal prudence by creating, refining, and implementing policies and systems while upholding the values of Lighthouse Academies. The EOM and his/her team work to create a culture of service and support. The EOM partners with the larger education center leadership team to develop a school-wide culture of respect and achievement and a team culture grounded in common goals, mutual respect, empathy towards others, and an appreciation of diversity. ESSENTIAL FUNCTIONS

The education center Operations manager is an operational and strategic leader responsible for maintaining operational excellence and fiscal prudence. The actions of the education center Operations Manager must always be aligned with our mission, vision, and core values. The essential functions of a School Operations Manager are as follows:

Operational Leadership

Systems Development

• Develop and implement school-wide non-instructional systems and procedures that ensure operational excellence within the school. Systems include but are not limited to Transportation, Safety, National School Lunch Program, procurement, compliance tracking, and budget management.

Compliance

• Capture and organize key school data with reliability for the creation and completion of various compliance reports (attendance, enrollment, staffing, etc).
• Manage and successfully complete all necessary compliance reporting to the Local, State, Federal Government, and LHA stakeholders.
• Ensure that all fire, life, and safety regulations and procedures are implemented ensuring the well-being of all school staff and scholars.
• Support the Coordinator of Family and Community Partnerships to conduct the school’s lottery and enrollment process with integrity and uniformity.

School Operations

• Update and maintain accurate student records and student data in a student information system.
• Manage the daily execution of the school’s national school lunch program.
• Ensure that the transportation needs of scholars are met.
• Oversee all janitorial staff to ensure that the facility is well-maintained and continues to be a source of pride in the community.
• Manage the education center’s inventory process.
• Support Charter Facilities Management with any facility-related initiatives as needed.

Business

• Support the development, management, and maintenance of the procurement lifecycle, including but not limited to: vendor selection, account creation, purchase order management, materials requisitioning and receiving, inventory management, and invoice reconciliation and payment.
• With regional and national office support, maintain the education center’s financial management system (QuickBooks).
• Support the Principal in the development and management of the annual budget to ensure that the education center meets its financial goals.

Information Technology

• Serve as on-site IT contact, including managing IT assets, assisting staff with IT issues as able, and serving as the main touch-point to regional and national IT staff.
• Support the National Office in the administration of the E-Rate program.

Human Resources

• With regional and national office support, serve as human resource administrator as it relates to employee information and benefits.
• Maintain all employee files; update required HR paperwork and data systems.
• Oversee payroll administration.

Team Leadership

Management

• Recruit, hire, lead and manage larger school operations team. Staff could include office manager, office assistants, non-instructional aides, janitorial and maintenance staff, transportation staff, and lunch services team.
• Meet with school leadership team regularly to discuss goals, progress towards goals, trends and challenges, areas for growth, and action plans.
• Create a culture of service and support developing team members to excel in their roles and ensuring the school maintains operational excellence.

The candidate will be on 9 months contract for maternity coverage (extension for up to 12 months). Reporting to the Finance Manager, responsible for the accounting for Asia Pacific including AR, financial reporting, tax compliance, vessel and bank reconciliations, company secretarial duties and management of consultants.

ROLE ACCOUNTABILITIES (What is this role responsible for delivering?)

Financial Reporting

• Prepare month-end closing in SAP.
• Review monthly vessel accounting entries.
• Prepare utilization reports.
• Analyse vessel and shore profit and loss reports and provide variance analysis.
• Oversee the fixed asset register of Tidewater Offshore Operations PTE LTD
• Assist in vendor callback.
• Assist in preparation of manual payments.
• Collating supporting documents and issuance of invoice to charterers, including liaising with charterers and accruing revenue
• Prepare/review of shore journal entries.
• Prepare journals for master cash book expenses.
• Liaise with external and internal auditors on financial audits

Billing

• Prepare and process sales invoices to customers.
• Follow up issues relating to invoicing and assigned customers.
• Monitor and follow up on collections from customers.
• Assist to ensure that sales invoices are prepared in accordance with contracts and applied tax rules (e.g WHT, GST etc) in area of operations.
• Liaise with tax department and customer on WHT tax slip collections.

Seafarer Payroll

• Review OSM Australia Pty Ltd payroll
• Liaise with manning department on errors in seafarer payroll.

Reconciliations

• Prepare account reconciliations.
• Prepare bank reconciliation.
• Prepare fuel oil reconciliations.
• Make accounting adjustments.

Budgeting & Quarterly Forecasting

• Assist finance manager to prepare vessel forecast/budget.
• Work with other departments on budgeting/forecasting
• Assists to prepare reports for reporting to Head Office and Outport General Manager

Tax Compliance

• Collate seafarer payroll information from manning department.
• Assist to prepare monthly personal income tax calculation
• Liaise with tax consultant on tax filing.
• Assist tax team on adhoc requests.

Company Secretarial

• Assist to prepare secretarial documents for SEA region (i.e. bank signatories, annual filing, company registration etc).
• Handle ad hoc requests as required.

Education: Bachelor’s degree in Accounting, Finance or related field with 3 years working experience, OR in lieu of degree, Diploma or Professional accounting certifications with 5 years working experience.

Skills & Experience:

• Proficient in SAP and other accounting software.
• Strong understanding of accounting principles and practices
• Experience with financial reporting, reconciliations, and budgeting/forecasting.

We are looking for a passionate HR Advisor / Senior HR Advisor to join our team at our Singapore office a on a full-time, staff basis.

What will you be doing?

The job holder supports the Human Resources function, providing flexible and professional HR advice throughout the offshore community, predominately servicing our Global Employment Company (GEC).

You will be responsible for at least one offshore skill pools or vessels, providing generalist human resources advice, strategies and support.

Key Responsibilities & Activities include:

• Work closely with the HR Coordinator to ensure efficient, timely, accurate and cost-effective management and delivery of the function’s activities to business and crew.
• You will be a primary focal point for Human Resources for allocated skill pools or vessels, delivering all HR services including compensation/remuneration, investigations, disciplinary action, grievance management, absence management, onboarding and general HR queries.
• Check monthly HR Audit files for audit by Senior/HR Business Partner.
• Personnel Action Notice (PAN) and necessary follow up with crew, including letters and communication to crew when necessary.
• Maintain proper record keeping of personnel files.
• Follow up on absence management with crew and recommend for salary continuation where necessary.
• Guide the HR Coordinator on day-to-day operations including effective and professional first level communication to crew.
• Conduct disciplinary and grievance cases as assigned.
• Develop a constructive and professional relationship with all stakeholders.

What experience would we like you to have?

• Relevant industry experience including but not limited to Marine Construction, Civil Engineering, Oil and Gas sectors.

• Effective supervisory and team leadership skills.
• Comprehensive customer service skills as well as written and oral communication skills.
• Able to work alone.
• Good interpersonal skills to deal effectively with internal stakeholders and crew.

Description:

• Supports Operations Manager (OM) to ensure daily operations run smoothly.
• Monitors and tracks school’s facilities, and operating system/equipment, to ensure they are in order. He/she will follow-up with the vendors/Term Contractors (TCs) to ensure defects are rectified.

About You

We are looking for an experienced Fund Operations - Senior Specialist to join our Singapore headquarters as part of our dynamic team of talented, fun-loving individuals.
