As a Senior Systems administrator manage a team and responsible for designing, planning, IT software and hardware maintenance, and having the highest level of performance as an expert in the system administration for computers and their complex operating systems. Plan, implement, oversee and maintain server and network infrastructures and projects.

Configure internal systems

Diagnose and troubleshoot technical issues

Document maintenance for all computer systems and network infrastructure

Work with executive team members, decision-makers, and stakeholders to define business requirements and systems goals, and to identify and resolve business systems issues.

Design and deploy new applications and enhancements to existing applications, software, and operating systems.

Perform cost-benefit and return on investment analyses for proposed systems to aid management in making implementation decisions.

Conduct research on software and systems products to justify recommendations and to support purchasing efforts.

Gauge the effectiveness and efficiency of existing systems; develop and implement strategies for improving or further leveraging these systems.

Ensure system connectivity of all servers, shared software, groupware, and other applications.

Ensure compatibility and interoperability of in-house computing systems.

Monitor and test system performance; prepare and deliver system performance statistics and reports.

Provide orientation and training to end-users for all modified and new systems.

Must be able to work on both Saturday, Sunday, and Public holidays, off days, will be on weekdays only.

Consolidation of documents for Job done Including

• Matching and checking all clearance documents (CFS receipt, delivery DO, supporting documents)
• Scanning of documents accordingly once vetted by the controller in case of missing documents/additional last minute jobs after office hours etc.
• Upload and recording of uploads done including all pending folders and follow-up with recently created folders
• Update Whatsapp group to include fleet job schedule list
• Follow-up with billing department on documentation query/doubt, email record, delivery/driver record, and communication record.
• Scanning of PODs collected for the day upon receipt
• Updating fleet outlay, to match actual expenses from petty cash book and to ensure original/copies provided for CFS receipts, carpark receipts, and misc expenditure receipts.

Customer service

• Taking note of and replying/following up with customer emails with regards to POD, urgent jobs, upcoming jobs, driver details, necessary job requirements, delivery time, etc.
• Answering calls from customers with regards to similar as above.
• Follow-up with job schedule for special arrangement jobs

Fleet assistant

• Supporting controller with distributing job files, to assist Controller in case Controller is out of office.
• Supporting controller with updating of next day/upcoming jobs/KD clearance on Job sheet.
• Daily Checking of Emails and follow-up with select customers on daily clearance and damages accordingly including next-day delivery arrangements for bookings.
• Coordinating and communicating with the controller on customer queries/urgent queries/necessary requirements/missing documents/upcoming jobs.
• Coordinating and communicating with controller and/or driver with regards to clearance and unstuffing status for kd clearance and follow-up for next delivery arrangement.
• Coordinating and communicating with controller/driver and customer with regards to job completion status/follow-up of pending documents
• Weekly consolidation and recording of fleet truck inspection checklist and daily follow-up/report asap.

• Oversee procurement budget and key performance indicators
• Conduct regular analysis of procurement data to identify trends, opportunities for cost reduction, and process improvements
• Prepare purchase orders in line with final negotiations with selected suppliers
• Advise on alternative equipment, part and materials
• Liaising with the China vendors for rate negotiation and invoicing
• Liaise with Finance department and vendors to resolve discrepancies such as price, quality, delivery or payment issue, if any
• Maintain accurate Purchase Order record, approved suppliers, vendors list, procurement master file and relevant documents in soft copies and hard copies.

Requirements:

• Minimum Professional Certificate, Diploma or Degrees in related field (Purchasing/Procurement/Sourcing or equivalent).
• At least 5 years of relevant working experience
• Good interpersonal, communication and negotiation skills
• Proficient in Microsoft Office
• Able to multi-task and manage time well.

The IT System Administrator will be responsible to provide consistent network and computer system administration, to include: implementation, technical assistance, customer service and support; training and guidance; communications; desktop, servers, Internet/Intranet, software and related security.

Responsibilities:

• To Lead / Co-lead in planning and implementing, developing, testing and support the IT application and systems for head office and all branches;
• Administer, maintain and support internal and cloud infrastructure consisting of Windows Active Directory spanning across the US and South East Asia Region;
• Focus on and responsible for troubleshooting support to include; software, network, server, and workstation problem resolutions and support for upgrades and patches;
• Monitoring, reporting and troubleshooting of all assigned equipment, systems, applications, and all associated systems;
• Performs preventative maintenance and manage problem resolution and upgrades;
• To provide first level technical support for End Users to ensure business continuity.
• Escalate and route calls and tickets to different level support per defined processes;
• Provide 24/7 support and resolution on critical production issue, and problems;
• To enforce security policies and standards;
• Responsible for technical documentation of the IT systems;
• Develop training materials and procedures to train users in the proper use of hardware and software and instruction for system users on operating systems, relational databases, and other applications; assist users in maximizing use of networks and computing systems to ensure consistency in all office locations;
• Conduct various training as required on supported systems, equipment, and applications;
• Vendor management: Negotiate and administer vendor, outsourcer and consultant contracts and service agreements;
• Provide customer and personal service to end user in multiple locations. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction

Requirements:

• At least 3 year(s) of working experience in the related field is required for this System Administration position.
• Experience with Microsoft technologies in a multi-site environment including AD/Exchange server replication
• Required skill(s): Microsoft Active Directory, TCP/IP, VMware/Microsoft Hyper-V
• Candidate must possess at least a Professional Certificate, Bachelor’s Degree, Post Graduate Diploma, Professional Degree, Computer Science/Information Technology, Engineering (Computer/Telecommunication) or equivalent.
• Proficient in English Speaking, writing and reading.
• Experience with Service-now or other ITIL products a plus
• Experience in support Linux environment is preferable
• Experience in CI/CD (Jenkins/Hudson/GIT) is a preferable
• Ability to create scripts in Python, Perl or other language
• Ability to prioritize and multi-task in a fast-paced and dynamic environment
