Key responsibilities

• Reception duties during business hours, provide on demand support for on-site employees and visitors.
• Proactively develop relationships with key internal partners, gaining recognition as a team resource and go-to person for office related questions.
• Office equipment, supplies, facilities and vendor management.
• Coordinate with IT department on all office equipment
• Implement, maintain and keep updated office admin procedures with a mindset of continuous enhancements to existing processes.
• Ensure the office environment and procedures meet health and safety regulation standards, and ensuring they are observed by all persons on-site.
• Continuously ensure our workplace is tidy, organized, and inviting
• Assist with the planning, coordination, and execution of internal events, including but not limited to office celebrations, new joiner and CSR events.
• Manage contract and price negotiations with office vendors, service providers
• Manage all inbound mail and packages. Provide outbound mail services for employees.
• Ad hoc matters as assigned

Skills / Proficiencies required

• At least 2 -3 years of related experience in providing office administration support / facilities role. Ideally with a focus on employee experience.
• Both written and verbal communication skills are vital and, of course, you’ll be good at building team relationships.
• Have an eye for detail, strong organizational skills, and excellent interpersonal & customer service skills

• Flexibility to adapt to changing business situations.

Job Description:

• Handle web-chat queries and inbound calls.
• Respond to customer emails.
• Update and record customer information in CRM.
• Investigate complex cases or complaints submitted by clients and provide solutions to the cases/complaints.
• Communicate effectively with clients and intermediaries to ensure a satisfactory resolution of the cases/complaints within a reasonable timeline.

Requirements:

• Degree or Diploma in Marketing Mass Communications, Creative Media Design, Digital marketing, Marketing, Advertising and relevant fields
• Preferably work experience in handling E-commerce platform
• Proficient in MS Word, Excel and PowerPoint and knowledge in Photoshop, Illustrator and video editing software
• Knowledge in other word processing and web analytics tools will be an advantage
• Creative, detail-oriented, proactive and result-oriented
