Key Responsibilities

Marketing Support:

• Assist in executing the firm’s marketing strategies, including digital campaigns, social media, and content creation.
• Coordinate content for the firm’s website, newsletters, and other online channels.
• Manage the publication schedule for articles, newsletters, and email campaigns to ensure timely and effective communication with clients and audiences.
• Maintain and analyse engagement metrics across digital platforms to inform strategy adjustments.

Event Coordination:

• Support in planning and organising firm events, client seminars, and other business development activities.
• Coordinate with vendors and venues, manage invitations, and handle event logistics.
• Monitor event budgets and provide post-event analysis and feedback.

Administrative Support:

• Maintain accurate business records, including client lists, contacts, and mailing lists.
• Oversee administrative tasks such as preparing reports, managing schedules, and organising files.
• Coordinate meetings, prepare agendas, and document minutes where necessary.
• Support general office management, including maintaining inventory of marketing materials and office supplies.

Client Relationship Management:

• Provide assistance with client touchpoints and follow-ups, ensuring timely responses to client inquiries.
• Support the business development team in identifying opportunities to enhance client engagement and satisfaction.

Preferred Experience & Skills:

• Education: Diploma or Professional Certification in Marketing, Business Administration, or a related field.
• Experience: Prior experience in a marketing or administrative role, preferably within a legal or professional services environment.

Technical Skills:

• Proficiency in MS Office, social media platforms, and marketing tools (e.g., HubSpot, Canva, and basic Adobe Creative Suite knowledge).
• Familiarity with CRM systems and website management is a plus.

Organisational Skills:

• Strong multitasking, time-management, and organisational abilities.
• High attention to detail and accuracy in all deliverables.

Communication Skills:

• Excellent written and verbal communication abilities to interact professionally with clients, vendors, and team members.

Personal Attributes:

• Self-motivated, proactive, and adaptable.
• Collaborative and able to work effectively both independently and as part of a team.

The Role :

• Planning and Scheduling: Coordinate with project managers and clients to plan installation schedules, taking into account resource availability, project timelines, and customer requirements.
• Team Management: Lead and supervise installation teams, including technicians, contractors, and subcontractors, assigning tasks, providing training, and ensuring adherence to safety protocols and quality standards.
• Site Preparation: Coordinate site visits to assess installation requirements, including site layout, equipment placement, and logistics for materials delivery.
• Resource Allocation: Manage resources such as equipment, materials, and personnel to ensure smooth and timely installation processes.
• Quality Control: Implement quality assurance measures to ensure installations meet company standards and customer expectations, conducting inspections and resolving any issues or deficiencies.
• Compliance and Safety: Ensure compliance with relevant regulations, codes, and safety standards throughout the installation process, promoting a culture of safety among installation teams.
• Communication: Serve as the primary point of contact for clients and internal stakeholders, providing regular updates on installation progress, addressing concerns, and resolving conflicts as needed.
• Problem-solving: Identify and address challenges or obstacles that may arise during installation, developing solutions and making decisions to keep projects on track.
• Documentation and Reporting: Maintain accurate records of installation activities, including documentation of materials used, work performed, and any deviations from the original plan. Prepare reports for project managers and clients as required.
• Customer Satisfaction: Ensure customer satisfaction by delivering installations that meet or exceed expectations, addressing any issues or concerns promptly and professionally

The Requirements:

• Bachelor’s degree in a related field or equivalent experience
• Minimum of 5 years of experience in installation management or a related field
• Proven track record of successfully managing installation projects
• Excellent communication and leadership skills
• Strong organizational and time management skills
• Ability to work in a fast-paced environment and manage multiple projects simultaneously
• Experience in installation of equipment and systems
• Knowledge of installation guidelines and procedures
• Familiarity with safety and quality standards
• Proficient in use of relevant software and tools
• Familiarity with installation tools and equipment
• Excellent communication and organizational skills
• Strong problem-solving and decision-making abilities
• Ability to multitask and prioritize tasks to meet strict deadlines
