Job responsibilities:

• Manage end-to-end staff and workers’ training courses from liaising with internal staff to Training Vendor, course registration and confirmation, and post-training evaluation to training records and certification renewal.
• Assist in updating and maintaining internal T&D policies, SOPs, flow charts, training calender and training materials in good order and timely manner.
• Manage and update training administration, staff records, training budget and resources.
• Assist in follow-up and updating performance management data and reports.
• Assist in follow-up on mentorship and staff career planning progression, activities and communication.
• Coordinate and conduct HR events, meetings and staff engagement activities.
• Assist in reviewing and analysing training reports and feedback for improvements and action plans.
• Acts as an active team player/leader in the HR team for organizing/roll-out department activities which are not limited to training and development, HRIS, people communications, HR administration and projects, etc.

Requirements:

• Diploma or Degree in any field of study.
• With ACTA or ACLP cert is an advantage.
• At least 2 years of working experience, prior experience in training administration or similar role is an advantage.
• Responsible, quick learner, detail-oriented, self-motivated and team player.
• Good command of English and Chinese as will be facilitated training and meeting in both languages.

RESPONSIBILITIES

Executive & Administrative Support:

• Executive Assistant support to Senior Management, including calendar management, meeting coordination, travel arrangements, expense claims etc…
• Manage sensitive and confidential information with discretion
• Organize, plan and coordinate cross-divisional events and meetings
• Collaborate with key stakeholders across divisions to ensure alignment with strategic objectives
• Provide cross-divisional administrative support relating to General Administration, Organizational Changes and Business Continuity

Strategic Planning Support:

• Support the Senior Leadership team in the organization’s strategic planning, transformation and change management initiatives
• Conduct research to identify trends, opportunities and risks that impact the organization’s strategic goals
• Analyse relevant data sets to extract meaningful insights to support strategic initiatives and decision-making processes
• Stay updated on industry trends, market dynamics, and emerging technologies that may impact the organization's strategic direction
• Prepare and present reports and recommendations to senior management and key stakeholders
• Support in driving cross-divisional staff engagement initiatives, to cultivate a strong culture of camaraderie

QUALIFICATIONS

• Bachelor’s Degree in Business Administration, Management or related field
• Min. 3 years of working experience as an Executive Assistant to Senior Management and/or in a Strategic Planning Support role
• Strong analytical and research skills, with the ability to synthesize complex information
• Excellent communication skills, with the ability to present complex information in a clear and concise manner
• Proficient in MS Office Suite and Data Analysis tools
