Job Description (Administration)
- Responsible for administration and reception duties
- Manage external phone calls, general workplace upkeep, courier services, mail etc.
- Serve as point of service contact for all internal/external visitors & meetings
- Administer and facilitate seamless control of the provision of stationery/pantry supplies
- Process assigned payment vouchers and necessary documentation
- Coordinate maintenance services; including office facilities, photocopier, pest control, plants etc.
- Take meeting minutes of all internal/external meetings
- Manage business travel arrangements, including air ticket and hotel bookings
- Ad-hoc duties when required
Job Description (HR)
- Assist in the recruitment process by sourcing for candidates, screening resumes and co-ordinating interviews
- Conduct pre-employment reference checks and preparation of employment contracts
- On-board new joiners and facilitate orientation programmes
- Handles employee queries and grievances
- Assist in disciplinary procedures and performance management processes
- Maintain and update employee records and databases
- Process payroll and ensure accuracy of timesheets
- Manage employee benefits administration (e.g. insurance policies, leave module)
- Co-ordinate training programmes and workshops based on organizational needs
- Assist in the development and implementation of HR policies and procedures
- Ensure compliance with employment laws and regulations
- Compile performance data and assist in performance reviews
- Provide guidance to managers and employees on performance-related matters
- Facilitate HR projects, such as employee engagement surveys, diversity initiatives etc
- Organize employee engagement activities and events
- Monitor employee welfare and suggest initiatives to enhance work-life balance
Job Requirements
- Diploma in Human Resource, or a related field
- Minimum 2 years of relevant working experience
- Meticulous and able to work in fast paced environment
- Bilingual and able to manage queries from Chinese speaking associates
- Versed in MS Office, WhatsApp & WeChat
