Responsibilities

• Administration of the Sport Science & Management undergraduate programme, including examinations, coordinating programme logistics, and course scheduling.
• Supporting the Programme Leader in implementing, delivering, and evaluating programme activities, ensuring compliance with university policies.
• Administration of examination matters relating to the PESS Initial Teacher Preparation programmes.
• Administration of part-time lecturers including checking of time entries, and onboarding procedures.

• Administration of Physical Proficiency Test (PPT).
• Administration of alumni matters.

PESS General Office

• Finance and procurement duties including but not limited to obtaining quotations, checking availability of budget, issuing of purchase request on Ariba, ensuring that the vendors e-invoice on time, administrative support for budget exercise, etc.
• Making e-cat/non-e-cat purchases such as ordering stationery, top-up pantry supplies, catering for events, ordering of name cards, etc.
• Managing assets including liaising with staff to verify that the assets are in order, putting up the documents for condemnation of assets, etc.
• PA duties including but not limited to coordination of meetings, arrangement of lunch appointments with visitors for the AG Head, sending of festive greetings, collation of information as required by external departments, etc.
• Provide administrative support for matters relating to faculty affairs (e.g., report writing, checking of documents for contract renewal, promotion and tenure, new hires, and award nomination).
• Administration of external consultancies, staff development leave, staff and students claims, visitors and visiting scholars.

• Conceptualise, develop and implement Educational programmes that align with the Education, Research and Conservation (ERC) strategy of the S.E.A. Aquarium/Singapore Oceanarium.
• Foster partnerships with schools/institutions, corporations and government agencies to drive collaborations that support the breadth and depth of the Educational programmes; aligning with the goals of the S.E.A. Aquarium/Singapore Oceanarium.
• Coordinate, train and supervise team members to deliver immersive world class Educational learning journeys, classroom programmes and public programmes.
• Manage the S.E.A. Aquarium/Singapore Oceanarium’s interpretive media to educate, raise awareness on threats to the marine environment and inspire the wonder of our oceans to all guests.
• Provide excellent customer service for Animal-related Educational Programmes to ensure repeat bookings from the Schools and the Public
• Perform the role of Duty manager on scheduled days to take charge of the frontline operations of the team. Ensure timely and accurate data recording and reporting.
• Interact with SEAA guests by sharing knowledge about marine animals and their habitats, and address guests concerns whenever necessary to enhance the experience.

The Senior Executive will take on the administrative tasks relating to academic research at the School of Social Sciences. Main responsibilities include supporting the functions of the Research Grant Administration and Research Programme in the Associate Chair (Research) office such as grant management, monitoring of the compliance of projects to guidelines, policies and processes throughout the lifecycle of the projects, and initiate pre-emptive actions to prevent projects falling out of compliance. The incumbent will also support research initiatives of the School, and data reporting for KPI or sensemaking purposes.

Responsibilities:

• Manage a portfolio of research grants and schemes for the School of Social Sciences.
• Work with Principal Investigators on matters related to project budgeting, submission of proposals, award acceptance, account setup, research contracting, progress reporting and project closure.
• Advise Principal Investigators and project staff on compliance with University’s and funder’s policies and processes on grant expenditure and research conduct.
