About The Job
The Senior Officer will be part of SUSS's HR shared services team, offering HR administrative support to the university.
Key Responsibilities
Training administration
- Verify and approve employees’ training-related reimbursement claims using the SuccessFactors (Rhombus) system, including course fees, professional membership fees, FDS related expenses and etc.
- Address staff inquiries regarding training administration and reimbursement claims.
- Verify and process payment for training-related invoices, such as venue rentals, catering, and workshop fees, through the SAP system.
- Coordinate with external training providers to register employees for training.
- Manage training grant applications, including absentee payroll, through the Enterprise Portal for Jobs & Skills.
- Maintain accurate training details and records in SuccessFactors, including adding new courses/schedules and updating staff training hours.
HR Admin/Operations
- Manage offboarding processes for employees, including leave balance calculations, system operations, and related tasks.
- Handle HR administrative duties, including mail collection, stationery management, requisitioning HR supplies, and distribution of jackets/polos to staff.
- Provide backup support for team members in tasks such as contract renewals and adjunct payment processing.
- Undertake any ad-hoc tasks as assigned.
** The busiest period for this role occurs annually in December.
Job Requirements
- Diploma in Human Resource Management or related field, or equivalent experience.
- Minimum of 1 year of practical experience in HR operations/administration or a related role.
- Proficient in managing administrative tasks efficiently, especially in high-volume environments, with strong multitasking abilities.
- Proficiency in Microsoft Office applications.
- Detail-oriented with a meticulous approach to tasks.
- Demonstrated ability to collaborate effectively within a team and work independently with minimal supervision.
