About the role

We’re seeking an enthusiastic and driven HR Intern to join our team for a 6-month internship. This role will support the HR Manager  across various HR functions, from recruitment and onboarding to document management and event planning. You will play a key role in keeping our processes organised and ensuring our values are embedded in every aspect of our work

1. We are looking for a Human Resource Manager that is excited about the below Mission and Outcomes over the next 6-12 months.

Mission:

The HR Manager will play a fundamental  role in shaping a positive and inclusive workplace culture, supporting the Head of HR in delivering initiatives that enhance employee engagement, retention and development. The HR manager is also responsible for delivering seamless HR operations across all  regions with a focus on office management, employee data compliance, payroll, staff training, coordinating and reviewing engagement surveys and benefits programs. 

Outcomes: 

1. Ensure 100% accurate and timely payroll processing, In collaboration with the Finance department, across all regions and resolving any payroll-related discrepancies 

2. Maintain accuracy with zero to two data errors each month by managing and maintaining employee data, ensuring all employee contracts, benefits, and personal data are up-to-date on a weekly basis, accurate and securely stored in the regional HRIS and the HR masterlist

3. Achieve 90% office capacity in our 3 Singapore offices from Monday to Friday and create a welcoming work environment ,including stocking pantry supplies, managing the biometric system for employee access and working with vendors for cleaning, aircon servicing, and other office needs  and to resolve other office related issues promptly

5. Input into and lead the delivery of HR projects and initiatives, aiming for a smooth onboarding experience without  major issues for  Singapore- based employees. Lead campus recruitment efforts,. by building relationships with at least 3 educational institutions in Singapore, participating in at least 2 career fairs each year and maintaining a pipeline of top candidates while managing Singapore-based recruitment and collaborating with hiring managers to fill roles efficiently. Onboard and train our Singapore- based HR interns by guiding them to work productively with minimal errors and to independently take on recruitment efforts

About the interview process

The successful candidate will participate in the below interview stages. 

It might seem like a lot - but fear not - we come prepared! We anticipate the process to last no more than 3 weeks from start to finish depending on your availability.

• A ~30 minute video call with a member of our HR team to discuss your application and get a better understanding of your experience and expectations for the role

Project or case study or technical test

JOB SUMMARY

Responsible to lead and manage the Corporate HR function within COMO Group Office, and providing leadership at Group level and business partnering to Business Units. Ensures effective delivery of HR operational requirements for the Group Office and Business Unit HR teams to support business objectives.

JOB RESPONSIBILITIES

General HR

• Provide functional expertise on effective HR policies across the COMO Group and to ensure alignment of HR practices. Ensure COMO Group and Business Unit (BU) HR Policies and Practices complies with current country specific employment regulations, policies and data protection laws.
• Provide functional expertise to ensure COMO Group Office organisational structure is effective to support existing Business Units (BUs), the Group Office and future needs. This includes Group Office HR budget planning commensurate to business size.
• To work with Business Units to evolve organizational Structure and HR Budget in line with business needs and goals.
• To identify and develop long term succession planning across various senior leadership roles within COMO Group.
• Provide professional leadership, support and development to Group Office HR team members to increase knowledge, share best practice and to ensure that relevant professional standards are met.
• Provide leadership guidance and functional support to BU HR team leaders (either as a direct or matrix reporting) to ensure execution of corporate HR initiatives / projects including consolidation of HR reports.
• Collaborate with the Corporate Marketing team to strengthen Employer Branding and Employee engagement, to establish COMO Group as an Employer of Choice.
• Manage employee grievances for Group Office, cross-BU and senior levels in accordance with prevailing Company policies and ensure effective resolution.
• Undertake and participate in key HR projects as required as part of COMO Group business development and/or new initiatives to enhance branding, revenue and/or business efficiency.

HR Information Systems

• Ensuring that HR information systems are accurate, efficient and fit-for-purpose to business needs.
• Drive the HR technology roadmap, driving alignment across COMO Group. This includes continuous review of existing technology stack to improve HR service delivery and enhanced employee experience.

Learning & Development

• Develop, implement and evaluate Senior Management Development programmes
• Senior management onboarding and integration into COMO community
• Drive performance management as a priority across the Group and BUs,
• Assess and develop organisational capabilities to achieve short and medium term business goals.

Talent Acquisition

• Develop and implement Talent Acquisition roadmap to meet business needs, including effective recruitment platforms, sourcing methods and optimised processes for successful candidate selection.

Recruitment Intern Qualifications / Skills:

• Basic understanding of recruitment processes and methodologies.

Education and Experience Requirements:

• Higher Nitec, Diploma, or Bachelor’s degree in Human Resources, Business, or a related field.
• Previous internship or coursework related to recruitment or human resources is a plus.

The Recruiter is responsible for Service Excellence throughout the recruitment cycle. They act as a brand ambassador for the client, focused on delivering exceptional talent while providing proactive and timely communication on the status of the search. They serve as subject matter expert in talent acquisition and provide consultative direction and industry expertise to hiring leader.

Responsibilities:

Finding Candidates:

• Lead a detailed job scope meeting with the hiring leader to determine position specifications, providing relevant market data and recommendations on possible approaches to the search or candidate requirements.
• Review of candidates who have applied via the Applicant Tracking System (ATS).
• Evaluate candidate qualifications against position requirements and determine who to move forward in the recruitment process.
• Develop and manage recruitment marketing plans or sourcing plans to determine the most appropriate candidate sources that align to the search requirements.
• Source candidates via resume databases, search engine and networking sites using Boolean search language.
• Solicit and pursue referrals from business networks and/or internal referrals.
• Utilize Cielo’s proprietary software for mobile and email campaigning to talent communities.

Engaging Candidates:

• Use an appropriate mix of media to connect with talent communities (phone, email, social media, etc.).
• Articulate value proposition to candidates who are interested in the job opportunity.
• Prepare candidates for interviews, coaching them on logistical information, interview schedule, appropriate attire and overall expectations.
• Ensure candidates are provided with timely updates concerning the status of their applications and interviews.

Assessing Candidates:

• Draft and utilize phone interview templates appropriate to the job description.
• Use independent judgement to compare candidate phone interview notes and skills assessments with position requirements to determine if the candidate is a match for the role or a potential match for other open positions.
• Issue skills testing as needed and evaluate results (if process dictates).
• Review background and reference information (if process dictates).

Influencing the Hire:

• Keep candidates engaged throughout process, ensuring consistent communication on the status of the search.
• Partner with hiring leader to determine offer details, using market data and compensation guidelines to support recommendations.
• Articulate a job offer to candidate and drive for candidate acceptance, anticipating and negotiating counter-offers as appropriate.

Service Excellence:

• Strict adherence to all regulations (OFCCP and all other compliance standards set forth).
• Work to deliver a strong candidate slate, continuously building talent pipelines to ensure there are multiple qualified candidates in play at all times.
• Provide accurate and regular reporting of recruiting activities to the hiring leader and Cielo leadership to depict both metrics and efforts.
• Identify perceived difficulties with searches and research and recommend solutions to both internal and external stakeholders.
• Proactively and regularly communicate the status of each search to the hiring leader, providing a consultative approach with recommendations on how to move forward.
