Job Description:

1. Ability to negotiate for strategic partnership on support and pricing.
2. Source for office/manufacturing related raw materials/services quotes and knowledgeable in recommending similar type of materials/grades/composites.
3. Input and release PO to suppliers/vendors promptly.
4. Work with QA team for incoming specification to ensure PO is meeting the requirements needed.
5. Work with Planning team to avoid costly urgent and sudden shortage/ramp up of raw materials as well as urgent follow-up with vendors on critical parts required.
6. Follow up closely for all acknowledgements and delivery schedules.
7. Coordinate between Warehouse and Production Departments.
8. Manage and update prices in system.
9. Manage suppliers and their OTD performances (both delivery and quality) to ensure uninterrupted supply to production.
10. Optimize the purchasing volume to avoid additional premium / handling cost.
11. Monitor any potential slow moving stock which may lead to obsolescence and maintain optimal level of inventory according to usage demand.
12. Implement and monitor cost saving measurements with suppliers/vendors, source for alternate suppliers and cost reduction program.
13. Establish and negotiate for reliable and effective freight cost
14. Generate monthly report and analysis.

Inventory / Procurement Executive

We are a young & dynamic team looking for enthusiastic and motivated individuals like us! In your role, you will collaborate with team members across the organization and work with external parties as well.

Specifically, this role will require you to:

· Source and negotiate with suppliers.

· Ensure timely and accurate purchase orders.

· Monitor and forecast inventory needs.

· Conduct inventory audits and manage stock levels.

· Implement cost-saving initiatives and monitor budgets.

· Maintain accurate records and ensure compliance with regulations.

· Align procurement with business goals and communicate with internal teams and suppliers.

Responsibilities:

• Review and analyze all existing vendors, suppliers, pricing and costs, so as to ensure cost effectiveness.
• Source for new vendor/supplier options (e.g. raw materials, equipment, supplies, etc.), to review and determine product suitability and negotiate purchase price.
• To coordinate sample product demonstration, and facilitate approval process of new products.
• Manage purchase cycle and order quantities of all items, to ensure proper management and control of inventory.
• Monitor and provide action plans to reduce inventory of expiring or discontinued items.
• Work closely with internal stakeholders and vendors to determine the product requirements and specifications required.
• Develop and implement purchasing and contract management SOPs, and to ensure adherence to the SOP guidelines.
• Review current system and to implement automation of purchasing and ordering processes.
• Maintain and update vendor and contract database and to ensure proper documentation of all purchasing and procurement documents.

Requirements

• Min. Diploma or Degree in Supply Chain Management, Business or any related field
• Min. 1-2 years’ experience in purchasing/procurement

Job Description:

• Involve in sourcing of new vendors, price negotiation, costs reduction and shortening of lead time activities
• Cost analysis for the main source and alternative parts
• Conducted vendor qualifications audits & work with Quality department on vendor selection
• Confirm parts specification during sourcing & new parts selection
• Work with Project Engineer on creation of BOM list
• Request quotation (RFQ) of new parts based on BOM list
• Work with product safety engineer on safety and critical parts qualification

Job Requirements:

• Candidate must possess at least a Degree in any field but preferably in Electrical & Electronic Engineering or Mechanical Engineering with 2-5 years of working experience in a Manufacturing environment
• Preferably Junior Executives specializing in Purchasing/Inventory/Material Management or equivalent
• Strong in Microsoft Application and Data analysis
• Ability to work independently and in a fast-paced environment
• Willing to work Overtime

• Assist and provide administration supports to Head of PMO includes coordinating meeting, follow up on outstanding issues and tasks assigned by Head of PMO.
• In-charge of procurement activities, including negotiation and vendor sourcing.
• Prepare vendor LOA and take charge in contract formation, including update the revised T&C to Legal Work Group.
• Prepare purchase quote and follow up on purchase order issuance.
• Vendor’s contract monitoring (EOT, LD, BG, VO)
• Long Lead Time EquipmentDelivery monitoring.
• Work with PMO to source and expand existing pool of vendors and arrange for negotiation based on new project / tender requirement.
• In charge in Vendor Qualification Process, ensure process is comply in IMS standards.
• Assist in tender process, request and compiling vendor quotations, documents compilation and submission.
• To summarise and tabulate vendor quote for specification and cost evaluation & review
• Responsible to all the correspondences with Vendors during tender stage. (Sales & Project team to support for commercial & technical portion)
• Prepare NDA to vendors, ensure vendors comply to NDA
• Administrate new job registration includes update project details in NAV system.
• Monitor and update project costing based on BUH’s direction, including monthly reporting of project costing to PMO.
• Work with PM / PD to prepare and submit project progress claim for customer billing.
• Review and check SMW to ensure project details are accurate before submission to Service Division.
• Organize, coordinate, and facilitate weekly Project Operation Meeting, including efficient minutes taking.
• Generate & submit KPI report quarterly.
• Attend IMS internal and external audit and update documents with latest operation process when required.
• Provide ad-hoc supports to Division.
