The Accounts Specialist manages and oversees various finance functions within the organisation, including handling the full scope of accounts payable. Qualifications:

• Results-driven with a proven track record of meeting or exceeding sales targets.
• Ability to manage multiple projects and priorities simultaneously.
• Experience in managing complex sales cycles, including working with presales and technical support teams.

Key Responsibilities:

• Act as an integral member of the Quality Systems team, ensuring effective quality oversight for validation activities with an emphasis on Data Integrity.
• Collaborate with Subject Matter Experts to support the validation team in conducting gap analyses and risk assessments prior to qualification activities, recommending mitigation plans for any identified gaps.
• Participate in investigations of validation discrepancies and assist in reviewing and approving discrepancy reports to support the closure of Corrective and Preventive Actions (CAPA).
• Review and authorize validation documents, including protocols, reports, and related materials.
• Provide guidance on validation-related inquiries and challenges throughout the process.
• Review and approve routine Standard Operating Procedures (SOPs), forms, and other pertinent procedures, including Manufacturing Batch Records.

Qualifications:

• Extensive experience in quality oversight of validation activities, particularly concerning Data Integrity requirements.
• Proficient in conducting gap analyses and risk assessments while proposing effective mitigation strategies.
• Experienced in handling discrepancy investigations and managing CAPA processes.
• Expertise in reviewing and approving validation documents and operational procedures.

• Marketing Support:
  • Perform basic administrative tasks for the marketing team, such as content updates, reports tracking, and coordinating marketing materials.

Requirements:

• Diploma or Bachelor’s Degree in Business, Information Technology, or related field.
• Experience in customer success, product operation, sales support, or a related role.
• Excellent communication, interpersonal, and customer service skills.
• Proven ability to work effectively in both independent and team settings.
• Experience with CRM, marketing automation tools, and analytics platforms.
• Flexibility to adapt to changing priorities and manage multiple tasks simultaneously.
• Bilingual in both English and Mandarin (to liaise with clients and colleagues based in China where their primary language is Mandarin)

Job Details:

• Source tender/quotation opportunities and manage submission for clients
• Review tender documents/award letters and handle all the post-tender queries/correspondence
• Manage the filing for all the tender/quotation documents
• Maintain tender/quotation and extension of contract in tender tracking system
• Provide updates to clients/customers
• Perform accurate and prompt entry of fax orders, order hotline and other sources into the system
• Handle all inquiries/complaints/feedback from customer/clients
• Ensure compliance to ISO and ISMS procedures and processes

Duties and Responsibilities:

• Source/publish tender or quotation opportunities
• Manage the submission of tender or quotation
• Review/check tender documents & contract terms and conditions prior to submission
• Review/check letter of awards (LOAs) and contracts
• Maintain tender/quotation and contract extension in tender tracking system
• Handle post tender queries and correspondence
• Check purchase orders against tenders and quotations
• Ensure timely filing of all the tender/quotation documents
• Manage item code change
• Respond to all inquiries from customer and clients in a customer service orientated manner
• Provide admin support when necessary. E.g. Filing, data entry, retrieval of documents, or any other duties and tasks assigned
