JOB DESCRIPTION

· Answer phone enquiries and orders professionally and efficiently with the use of good telephone techniques, customer service, speed and accuracy

· Respond to customer enquiries and provide quotations to customers promptly

· Ensure timely and accurate processing of orders and issue billings accordingly

· Ensure procedures for processing of orders with specific restrictions and that require price approval are strictly adhered to

· Work closely with overseas agent/partner and customer for scheduling of shipment

· Check on vessel sailing schedule, source for quotations, negotiate rates with carrier and co-loader, and confirm booking with carrier

· Follow up and update customer on all shipment details, schedule and status

· Request loading plan from freight forwarder at least 2 working days before vessel expected time of arrival and share loading plan with customer; and coordinate on all loading issues

· Prepare and handle full set of shipping documents including but not limited to submission of dangerous goods form to carrier if necessary, transhipment and export permit, master bill of lading, house bill of ladings, certificate of origin application, tax invoice and arrival notice

· Send stuffing photos, tally sheet, shipping note and final summary to overseas agent/partner

· Arrange for cargo pick up, permit clearance and transfer; and attend to customer queries; and engage haulier services when necessary

· Check commodity harmonized system code if applicable

· Manage and coordinate the flow of information between customers, warehouse and the transport team concerning the status of orders, incoming shipments, arrangement for cargo pick up, engagement of haulier services, unstuffing of incoming shipments, delivery arrangement, wrong orders, returned/damaged goods, unavailable loading bay at customer site, direct reject of orders at point of delivery, etc

· Ensure that critical information with regard to urgent delivery, special timing request are communicated and follow up with the transport team till completion of delivery

· Liaise with customers to evaluate and establish actual reason for direct reject of orders at the point of delivery; and rectify the error when necessary and work with finance to process credit note promptly and accurately

· Work closely with accounts team to:

a. Resolve and reconcile credit note discrepancies against payment made by customers;

b. Resolve and reconcile price error in orders and generate price difference credit note upon receipt of approval from customers and the Company

· Exercise good customer service skill when managing difficult customers and/or customer complaints

· Verify and analyse information gathered from customers’ feedback; and resolve the issues on the spot whenever possible. Otherwise, work closely with the relevant department to ensure customer complaints are appropriately addressed, service recovery are carried out promptly and preventive actions are in place to prevent recurrence of similar issues

· Provide administrative support when necessary and this includes but not limited to filing, data entry, retrieval of documents, etc or any other duties assigned

· Analyse data pertaining to customer feedback and complaints to identify key focus areas; and propose and executive action plans to enhance quality of service, improve process efficiency and service standard so that optimal results are achieved

· Perform scheduled service call to customers semi annually to gather customer feedback and strengthen relations

· Other ad hoc duties as assigned

QUALIFICATIONS

· Minimum Diploma in Supply Chain Management, Logistics or relevant field

Responsibilities

• Responsible for all level 1 onsite and remote technical support and onsite corrective and preventive services on all company products, including gaming machines & systems.
• Responsible for installation, configuration, troubleshooting, replacement and repairing (if any) on the company products in a field environment.
• Maintain a positive image and high customer satisfaction with company’s customers.
• Follow documentation, policies and procedures and perform tasks with minimal supervision and completed the essential paperwork timely.
• Guide/assist the local or oversea customer to investigate or troubleshoot the issue
• Ensure that issues are handled within the agreed service level agreement (SLA) timeframe.
• Explain to customers on basic functionality of company products

Specifications

• 1 - 2 years of working experience in field technical support (Fresh graduates with relevant qualifications are welcome)
• Possess a Diploma or NITEC / Higher NITEC in Computer / Electronic Engineering, Electrical & Electronic Engineering or a related field.
• IT knowledge and technical troubleshooting skill is desirable.
• Work well in a team setting.
• Able to travel overseas for short-term assignments and installations (overseas allowance provided).
• Weekend standby (until 11pm) on rotational basis and to be on-site when as needed/requested by customers (standby allowance provided).
• Have own transport

Job Purpose:

Within the Customer Service team, you will be responsible for a set of customer accounts where internally and externally you will manage the execution from factory to customer of sales made by the Sales function.

Key Responsibilities:

• Work closely with cross-functional team on executing the sales.
• Communicate pro-actively with customers on execution details such as shipment period, payment etc.
• Prioritise daily tasks and follow up on problem resolution that ensures customer satisfaction.
• Interact with internal/external parties to resolve issues accordingly and respond to the request clearly and concisely within an appropriate time frame.
• Investigate and resolve regular/ad-hoc requests or complaints.
• Process SAP sales order management transactions (create, change, cancel) and corresponding reporting tools.
• Participate in process improvement program as directed by the Team Leader or Supply Chain team.
• Understand and implement GMP + B3 and RSPO in daily tasks.

Requirements and skills:

• Minimum bachelor’s degree in any field, preferably in logistics/supply chain management.
• Have a minimum of 2 years of relevant experience.
• Must be proficient in SAP modules.

Responsibilities:

• Provide 2nd level onsite troubleshooting support in response to escalation from helpdesk to ensure consistently meet customer response / resolution times and objectives based on SLA
• Coordinate with equipment vendors and 3rd part suppliers to resolve issues
• Attend to customer enquiries (through phone and email) and follow-up on outstanding issues closely while ensuring that customers are kept updated on the progress
• Maintain call log database system and ensure all unresolved problems are escalated to the senior engineers
• Participate in adhoc projects when required

Requirements:

• Possess NITEC certification or Diploma in IT or relevant discipline
• Experience in desktop support and good working knowledge in Windows OS, Basic Network experience
• Minimum 2 to 3 years experience in customer support environment will be an added advantage
• Able to work under pressure and independently in a team environment
• Must be able to work in a fast-paced and dynamic environment
• Willing to travel around Singapore to multiple sites
• Able to work on rotating shifts including night shift
• Able to work on weekend and public holiday

• In-depth knowledge of market trends, opportunities, and competitive landscape within the food service industry.
