What you will be doing

• Responsible for the daily management of the Club’s F&B outlets including its banquet sales and operations. Managing F&B outlets managers/executives;
• Assist the Head of the Department to ensure optimal and efficient manpower deployment to meet the daily needs of the Club’s day-to-day F&B operations;
• Assist the Head of Department with the annual department budget and manpower forecast;
• Work with outlets in charge to achieve the department’s key performance indicators as set by the Head of Department;
• Ensure optimal stocks for daily operations and manage operational wastages to curb or reduce operating costs;
• Ensure timely requisition of required materials and supplies and that goods delivered are in good order;
• Follow up and supervise the workflow of tasks necessary for recurring outlet promotions, banquet bookings and Club F&B events;
• Supervise, manage and oversee all aspects of banquet setup and ensure that the expectations of members are consistently met or exceeded;
• Coordinate with all relevant departments on the physical and logistical requirements for outlet promotions and F&B activities including those required for banquet bookings;
• Coordinate with the Executive Chef on the timing and delivery of food for all F&B activities;
• Liaise with internal and external parties on the availability of facilities, products and services to ensure the smooth running of F&B activities and operations;
• Attend to members’ feedback and collate feedback received for review and continuous improvement;
• Attend and participate in meetings required by the Head of Department and/or Management;
• Provide and schedule on-the-job staff training for new hires or existing staff when necessary;
• Evaluate the performance of direct reporting staff, provide employee coaching and counselling when necessary and take corrective measures as appropriate;
• Any other duties as and when assigned by the Head of Department or the Management.

What we are looking for

• Preferably specializing in Food/Beverage/Restaurant Service, operational support and client management or equivalent;
• Confident communication skills for reporting to stakeholders at different levels, ability to influence people across the organisation;
• Strong experience in involving team management, project management, ownership of budget and cost structure financial management, and operations workflow;

Role

Oversees the Accounts Payable and ensures timely payments to all suppliers, contractors, etc. each month. Responsible for the month-end closing process for AP and filing of GST.

Job Description

Accounts Payable

• Review and check vendor invoices received. Update to Purchase Orders/ Purchase Journals in financial system. Ensure expense code, department code and project code are captured correctly.
• Ensure the AP team processes approved vendor invoices for payment via Giro and/or other E-payment modes and sends payment advices to vendors.
• Generate monthly vendor ledger listing to facilitate the reconciliation of vendor ledger to their Statement of Account.
• Timely reconciliation, accrual and follow-up of discrepancies against contractual terms and agreement.
• Prepare general ledger journal and monthly closing activities.

Operations

• Responsible for month-end closing processes, including expense posting, preparing balance sheet schedules, and generating analysis reports as required.
• Reconcile monthly bank statements, identifying and working with the team to resolve discrepancies in a timely manner.
• Act as the primary point of contact with banks, addressing queries and resolving issues promptly.
• Monitor actual cash inflows and outflows to provide insights into the company’s cash position.
• Collaborate with various internal and external stakeholders to resolve any queries or issues.
• Participate in annual budget exercise including reviewing and consolidating Capex budget submission, computing projected/budget depreciation amount, and preparing budget narrative/analysis for Capex/depreciation budget.

Reporting and Review

• Prepare weekly cashflow projection and monthly reports including creditors' aging, outstanding PO and accruals schedule.
• Prepare and submit quarterly/annual statistics reporting to Department of Statistics.
• Review journals, reports and reconciliations prepared by Executives.
• Filing of GST returns for the Club.
• Prepare tax-related work, including processing withholding tax payments to IRAS and assigning GST codes to invoices
• Participate in a new Finance system implementation project.

Ad-hoc duties

• Involve in Finance process review and improvement
• Handle enquiries from vendors, auditors, other departments
• Perform any other duties assigned by the Supervisor

Requirements

• Min Diploma or Degree in Accountancy or relevant accounting certifications
• At least 3 years of relevant accounting experience
• Experience in managing a team
• Ability to work independently on deadlines
• Experience in Sun Accounting System or other Accountancy System
• Proficient in Microsoft Excel and Office

Reporting to: Principal

Teaching and Team Actions

• Work with individual students or groups of students, in co-operation with Class Teacher
• Support the learning needs of students in the class, under the direction of the Class Teacher
• Whilst teaching, act consistently with the Class Teacher, and our schools Teaching and Learning Policy and curriculum documentation
• Accompany students to specialist lessons for Art, Music, PE and Library and co-operatively support Specialist Teachers of those subjects
• During Language lessons, handover students to the respective Language Teachers at the start of the lessons and collect them at the end of the lessons. Support the Class Teacher during this period
• Assume responsibility for the class if/when the Class Teacher is unavailable for short periods

Pastoral Caring for Students

• Greet students daily and help settle them
• Perform visual health screening and keep record of temperature and health status of students daily

• Make observations and contribute to record-keeping as requested by Class Teacher.

Job Description

· Responsible for full spectrum of payroll function

· Process monthly payroll and maintain the HRIS System

· Monthly preparation and submission of CPF and liaison with CPF Board when required

· Yearly preparation & submission of IR8A

· Process tax clearance when necessary (IR21)

· Generate monthly headcount and payroll reports

· Administer monthly staff cost allocation

· Co-ordinate in timesheet compliance

· Compile statistics and generate monthly manpower and other HR reports

· Ensure that all payroll processes are in compliance with SAMH/SAAC’s policies and procedures as well as audit requirement and MOM regulations

· Assist in audit check by the various auditors (internal & external)

· Process governmental claims e.g. childcare leave, maternity leave, NS reservist claim, etc.

· Preparation of claims related to MOE/MSF/CST, etc.

· Preparation and submission of statutory surveys and other ad-hoc surveys required by various stakeholders

· Assist in preparation of annual budget, annual increment, AWS/bonus payment, annual performance appraisal exercise, etc

· Responsible for work injury reporting, claim and renewal

· Responsible for other HR-related insurance claim and renewal

· Handle staff welfare, workplace safety and health

Job Specifications

· Possess O Level/Diploma in HRM or equivalent

· 3 years of relevant experience. Payroll experience is a must.

· Good knowledge of MOM regulations and Employment Act

· Proficient in Timesoft System

· Proficient in MS Office

· Good communication and interpersonal skills

· Good in both verbal and written English
