Job Overview:
We are looking for a tech-savvy, highly motivated, and proactive Personal Assistant to support the CEO, with a strong focus on operational tasks across the company. This role is ideal for someone with a great working attitude, strong work ethic, and punctuality. Experience is not required, as long as you are hardworking, willing to learn, and able to adapt to a dynamic work environment. A valid driving license is required, as the role involves frequent travel between service locations and includes opportunities to travel overseas for pet trade shows.
Key Responsibilities:
- Schedule & Operations Management: Assist with managing the CEO’s calendar, including coordinating meetings, appointments, and site visits across various services such as grooming, vet care, and pet sitting.
- Communication Management: Handle communications on behalf of the CEO, including emails, phone calls, and other correspondence related to administrative and operational matters.
- Operational Support: Assist with the day-to-day operations of Pawkit, overseeing service delivery, troubleshooting operational issues, and ensuring coordination between teams.
- Task Prioritization: Ensure urgent matters and priorities are brought to the CEO’s attention and assist in follow-ups to ensure tasks are completed on time.
- Administrative Support: Help prepare documents, reports, presentations, and operational proposals. Ensure materials are organized for meetings and site visits.
- Travel Coordination & Driving: Organize domestic travel arrangements and drive frequently between various service locations, including house calls, client meetings, and operational sites. Participate in overseas pet trade shows and travel with the CEO as needed.
- Meeting Support: Take meeting notes, distribute action items, and assist with operational updates and follow-up.
- Tech-Savvy Support: Utilize digital tools and platforms to help streamline communication, scheduling, and project management. Assist in setting up virtual meetings, managing shared documents, and optimizing tech-based tasks for greater efficiency.
- Personal Errands: Handle personal tasks for the CEO, such as booking appointments, coordinating home services, and managing personal errands.
- Confidentiality: Maintain strict confidentiality regarding company matters, the CEO’s personal information, and sensitive business operations.
Qualifications:
- Tech-savvy with the ability to quickly adapt to digital tools and platforms.
- No experience is required, but candidates must have a great working attitude, be hardworking, and punctual.
- A valid driving license and willingness to travel frequently between service locations and overseas for pet trade shows.
- Strong organizational and multitasking skills.
- Willingness to learn and adapt to a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs, Sheets).
- Discretion and confidentiality are essential.
- Passion for pets and the pet care industry is a plus!
