The Role

You’ll be providing support to the management and key leaders in keeping a smooth daily operations of the business and office. To excel in this role, you will need to be highly organised, extremely detail-oriented, self-motivated, have the ability to handle confidential information, as well as a demonstrated ability to respond effectively to changing workloads and priorities.

Additionally, the ability to effectively communicate and manage multiple assignments and people simultaneously is vital. Other responsibilities will include:

• Procuring and managing office inventory and supplies
• Frontdesk reception duties such as answering/ channeling of calls and hosting of guests/ clients
• Overall office space management
• Key liaison personnel with various vendors/ suppliers e.g. insurance agent(s), telecommunication provider (internet and phone lines), building management and etc.

• Accurate tracking of general office spending and log receipts/ invoices
• Other administrative duties as assigned
• Assist in organising team outings and events such as annual office party, team building events and regular social gatherings

Accounts Payables

• Being a key pointof contact for other departments on financial and accounting matters
• Maintain Vendor and Staff records in Finance System

• Investigating and resolving any irregularities or enquiries on invoices

• Being a key point of contact for other departments on financial

Monthly Closing

• Raise billing requests for facility utilization

• Closing of monthly account, prepare management report for consolidation- ensure month end closing are done timely and accurately.
• Maintain proper revenue and expense recognition in compliance with finance policy and FRS standards. Work closely with HODs / Operations to ensure revenue and expenses are reconciled and reported correctly.
• Perform reconciliation balance sheet accounts and banks.
• Review Detor’s aging report and follow up with HODs on any outstanding collection.

About ASEF Communications Department (COM)

COM promotes Asia-Europe cooperation by raising awareness and knowledge about ASEF, ASEM and Asia-Europe relations. Aimed at a diverse range of constituencies including the media and general public, COM’s activities foster greater mutual understanding between Asia and Europe. Among the seven thematic areas of ASEF, COM is responsible for Media. Through its projects, COM creates unique networking platforms for the exchange of views and ideas, as well as cooperation among media professionals from Asia and Europe.

COM is also responsible for ASEF’s corporate communications. COM supports the Executive Director on ASEF’s messaging and outreach, and is custodian for ASEF’s brand and identity. About the Position
