The Senior Executive, Governance and Quality Assurance, supports educational quality assurance processes and practices for the NTU Bachelor of Medicine, Bachelor of Surgery undergraduate programme at the Lee Kong Chian School of Medicine. This position reports to Director, Education Management.

Responsibilities:

Curriculum Reform

• Participate as Secretariat team member of the Curriculum Reform Committee (CRC) and its sub-groups and ensuring effective collaboration and implementation of curriculum reforms.

• Organise CRC and its sub-groups meetings and providing administrative and logistical support

• Assist in the preparation, compilation and dissemination of CRC and its sub-groups meeting package including meeting papers and slide deck

• Assist Chair, CRC in the conduct of meetings

• Draft minutes of CRC meetings and action plans for its sub-groups’ meetings

• Assist in monitoring follow-up actions

Curriculum Documentation

• Administer electronic filing infrastructure for NTU MBBS degree documentation

• Maintain version control of curriculum documentation

• Engage with internal stakeholders to plan and develop budget estimates for new degree programme, including operating expenses and expenditure on manpower

• Assist faculty and educators in compiling and documenting learning outcomes

• Collaborate with sub-groups, faculty and educators to collect, organise, and update course outlines, learning outcomes, and assessment strategies.

Programme Policies and Processes

• Collaborate with team leads in developing and reviewing MBBS degree programme policies and processes

• Monitor timeline for submission of revised policies and processes for approval at School and University-level committees

• Prepare student-facing versions of policies and processes for publication on student intranet

Quality Assurance and Quality Improvement

• Provide administrative support for national-level medical education quality assurance and quality improvement efforts

• Assist in preparation of quality assurance documentation for submission to Ministry of Health and Singapore Medical Council

Requirements:

• Bachelor’s Degree with at least 1 to 2 years of relevant experience in education quality management

• Background in medical education and/or healthcare administration would be an advantage

• Knowledge of quality assurance frameworks and methodologies in higher education

• Proficiency in Microsoft Office applications

• Experience in data management

The NTU Office of Admissions (OA), an office within the Students and Academic Services Department, is organised in the four key functional areas that support the university’s quest in recruiting quality students to pursue their undergraduate and/or graduate education.  These four areas are Undergraduate Admissions, Graduate Admissions, Talent Outreach and Marketing and Operations. ​

• Create visually appealing designs (digital and printed) for admissions related publicity materials, such as brochures, postcards, eDMs, posters, banners, event e-invite etc.

Requirements

• Diploma in Graphic Design, Visual Communication or equivalent.
• At least 3 years of experience in designing visuals/artwork for both printed and digital platform.
• Strong understanding of design principles, typography, colour theory and motion graphics.
• Proficiency in design software such as Adobe Creative Suite (Photoshop, Illustrator, InDesign) or other design tools.
• Proficiency in MS Office (Outlook, Word, Excel, PowerPoint, etc.)
• Basic knowledge of HTML, CSS and web design.
• Knowledge of video creation and editing software.

Responsibilities

You will be part of the team which handles payments and other student-related financial matters for the institute. Your responsibilities will include:

• Administering Financial Aid schemes, e.g. PSEA, CPF, Mendaki, Tuition Fee loan, Study loan, scholarships and bursaries.
• Checking that payment transactions (e.g. supplier invoices, student claims) have appropriate certification and approvals before processing payments.
• Handling the financial accounts, preparing GST, audit schedules and financial statements for NIE Student Union.
• Responding timely to enquiries pertaining to student matters.
• Assisting in the design, implementation and review of financial processes, policies and guidelines for continuous improvements, through streamlining and automation.
• Handling ad hoc duties as assigned.

Requirements

• A Polytechnic Diploma in Accountancy or its equivalent.
• 2 or 3 years of working experience in accounting.
• Organized and meticulous in handling numbers and data.

• To ensure an efficient operation of graduate studies (pre-admission) and research processes.
• Support on admission and coordinate orientation for graduate students.
• Administer post-admission graduate studies matters such as schedule mass qualification examination timetable, change of supervisor, candidates’ downgrade/extension/termination, process local and overseas conferences/attachments, exchange students’ applications, etc.          
• Provide a supportive/engaging environment to faculty members and graduate students.
• Assist on enquiries pertaining to graduate studies (pre- and post- admission). 

Responsibilities:

Admissions

• Prepare interview logistics and schedule interviews for shortlisted applicants. 
• Compile student and supervisor preferences and assist the Associate Chair to assign students to supervisors according to stipulated requirements.
• Maintain scholarship files and track application status to ensure updated information is readily available.
• Work with admin team to provide logistical support to postgraduate students when they arrive.
• Liaise and arrange for orientation programme for postgraduate students (Eg catering, slides preparation, goodie bags & etc).

Examination

• Coordinate with course coordinators to compile all examination requirements and feedback and submit to Central Admin.
• Prepare list of examiners and invigilators for the courses offered and submit confirmed list to OAS.
• Collate, check and submit examination papers from examiners, ensuring formatting guidelines are met and relevant signatures are obtained prior to submission.
• Coordinate in script checking and marks entry.

Qualifying examination (QE), thesis submission and oral examination (OE)

• Coordinate on processes for QE, OE and thesis submission.
• Work closely with faculty and students to ensure that examiners have been confirmed and approved.
• Coordinate with students and panel members to schedule QE and OE.
• Inform panel members and students of the presentation schedule.
• Check to ensure all the forms are duly and correctly filled and are submitted in order.
• Consolidate forms, oral reports, assessment reports and submit to Central Admin/ Graduate College.
• Monitor the progress of Thesis Advisory Committee (TAC) meetings and oversee the QE and OE to ensure smooth running of the Thesis review process.
• Ensure timely scholarships renewals.

Leave Application (LOA, Conference/training leave)

• Check and ensure that student submit all the necessary supporting document for leave of absence, PG overseas conference leave and training leave.
• Process all the leave application and reimbursement promptly.
• Create vendor via ServiceNow for new vendor for payment.

STP (Exchange/ Non- graduating students)

• Prepare a guideline for student to apply their STP application online.
• Work with OGEM and One Stop to process the documents.
• Ensure that enrolment letter and SOLAR form are sent out to the student so that they can submit STP application to ICA.
• Create ServiceNow requests for student payment of Research Fees, Application Fees and Miscellaneous Fees.

Research Grant

• Support ACR manager with research grant verifying, e.g. Ariba purchasing verifier, facility/chemical charging form verifier, etc.

Others

• Perform postgraduate processes in accordance to the policies and guidelines of the University.
• Provide support in process alignments within the unit.
• Maintain up-to-date postgraduate student records.
• Work closely with Students unit for graduation/ hooding ceremony.
• Tracking Graduate Assistant Scheme (GAP) hours and submit the report to Office of Admission on annual basis.
• Assist TA coordinator in assignment of Teaching Assistants’ duties.
• Support the coordination of PG events such as 3MT.
• Any other adhoc duties or projects assigned.

Requirements

• A recognized diploma or bachelor’s degree in any discipline.
• Proficient in MS Office.
• 1 to 2 years prior experience in tertiary research administration is preferred. Or experience of working in a customer focused environment.
