Job Description

• Support workplace projects, such as office moves and renovations, ensuring that they are completed on time.
• Maintain accurate occupancy workstation allocation in the office versus space system.
• Conduct regular headcount and space occupancy updates and to provide such report to client
• Coordination of moves, adds, and changes (MAC).
• Ensure compliance with health and safety regulations, such as fire safety and workplace ergonomics.
• Manage the daily operations of the workplace, including managing facilities, security, and vendor relationships.
• Efficiently track and update FM asset inventories; assist in the storing, disposal, and/or retrieval of FM assets
• Responds to work orders and complaints promptly with accurate and thorough information according to the specific request. Assists with light duty adjustments such adjusting monitor arms, tightening screws on chairs, and crawling under desks to adjust cables. Assists with meeting set up, furniture reset, and delivering temporary equipment and supplies. May assist with temporary signage.
• Maintain workplace policies and procedures, such as building access, visitor management, and emergency preparedness.
• Ensure that workplace facilities are maintained and cleaned to a high standard, and that workplace equipment is in good working order.
• Ensure daily work orders and feedbacks are addressed and attended to.
• Supervise and maintain the work schedule of the workplace support team, including receptionist, event coordinator, admin coordinator and housekeeping staff.
• Be the point of contact and maintain relationships with external stakeholders, such as building landlords and local government age

Job Requirement

• 1. Bachelor's Degree and at least 5 years of Facilities professional experience
• 2. Strong Facilities Technical (Mechanical and Electrical) knowledge and experience;
• 3. Able to handle manual duties and perform regular facilities inspections;
• 4. Pro-active, independent, able to work with minimal supervision and perform under pressure;
• 5. Knowledge and experience in computer systems, including Microsoft Windows and Office operating systems;
• 6. Excellent verbal and written communication skills in dealing with stakeholders from diverse backgrounds (in Chinese & English)
• 7. Ability to work flexible hours, occasional weekends and evenings.

Facilities Manager

Service Delivery

• Deliver high quality, prompt and courteous Facility Management services in support of Client’s business needs in a safe working environment
• Liaise regularly with client and client tenants to discuss and report on Facility Management issues
• Manage and report detailed facilities cost accounting data; Provide timely and accurate budget reports
• Prepare and manage capital forecast for equipment maintenance and replacement
• Oversee 3rd party service delivery to meet the requirements of the agreed scope of works
• Process customer space requests and supervise implementation of strategy including Churn works
• Manage service delivery to meet and exceed Key Performance Indicators (KPI) as agreed with the client; Maintain KPI reporting and metrics
• Conduct Customer communication and feedback surveys
• Perform Duty Personnel facilities support role as scheduled

Critical Management

• Support Client safety teams to develop guidelines and strategies to protect health and safety of staff and others, reputation and ensure business continuity with regards to property operations
• Liaise with client representatives to manage the Business continuity
• Coordination of Risk Management systems. This will include:

  Health, Safety and Security Management
  Fire Safety and essential services
  Emergency Evacuation

Occupant and Contractor Services

• Assist in the co-ordination of make goods, fit-outs, capital expenditure works, churn management, service providers and service provision
• Purchase building goods and services subject to Client Purchasing requirements/ contracts and goals for cost reduction
• Ensure relevant consultant sign-offs are obtained for each Project
• Manage provision of all services to be of high standard, cost effective, and to achieve targeted savings

Requirements
