• Position Title: Accounts Officer /Finance Executive

Key Responsibilities

• Handle full set of accounts (AR, AP & GL).
• Support Overseas Clients in setting up their Business in Singapore.
• Handling and providing accounting services such as preparing monthly payments, Management reports, Monthly Payroll Calculation & Submission, and Tax Reporting.
• Assigned Internal Administrative work for the business operations of the company.

1. Oversee daily operations, plan and schedule manpower based on project or customers’ needs.
2. Ensure periodic schedules have been enforced and followed up accordingly.
3. Coordinate with HOD and customers to ensure quality service delivery (compiling, analyzing, and review of operation plans to improve work procedures and quality service delivery)
4. Ensure cleaning specialists adhere to safety measures when executing cleaning tasks/operations.
5. Recruiting of manpower for projects. This includes job fitting and job matching of candidates.
6. Manage inventory, cleaning equipment and maintenance schedule - allocating equipment and/or technologies and supplies to the project.
7. Monitor working time to ensure that overtimes are completed correctly, meeting payroll requirement.
8. Maintain proper administrative records of all cleaning specialists’ schduele.
9. Assist in resolving existing contract conflicts, and/or report potential risks on contractual changes to the management without delay.
10. Assist in negotiating terms, conditions, and pricing, and ensure they are accurately executed and satisfied.
11. Ensure that budget guidelines set are followed and deviation to these should be communicated with explanations.
12. Completes other duties as assigned by the Director or HOD.

REQUIRED KNOWLEDGE, ABILITY, AND CAPACITY:

1. Nitec & above (in any discipline)
2. IT savvy
3. Possess good customer service skills
4. Demonstrated ability to think strategically and juggle multiple priorities.
5. Excellent verbal and written communication skills and demonstrated success in working on a team.
6. Good team player with effective communication and interpersonal skills
7. Self-motivated, detail-attentive, show a high level of initiative.
8. Experience in cleaning industry would be advantageous
9. Class 3 driving license (optional), physically fit as it requires traveling around from site to site.

OPERATION EXECUTIVE for Security Agency Located at Woodlands

• Recruiting, training and supervising security officers

• Build rapport with security officers and maintain high morale and motivation amongst the members of your team

• Attend regular meetings with other managers to determine operational needs

• Coordinate and respond to changes in schedules and rosters, client requests, unexpected situations, emergencies and alarms.

• Investigate, review and report incidents and breaches, and resolve emerging issues quickly and efficiently

• Create reports for management on security status

• To motivate and discipline all your subordinates

Candidate Requirements :

• At least 1 years experience in a similar position with proven experience as an OE (Security)

• Security Supervisor Certification or higher, with valid pre-requisite PLRD and other licenses

• Extensive knowledge of security protocols and procedures, and experience using relevant security technology and equipment.

• Experience in handling conflict situations, and in reporting and emergency response planning

• Strong leadership, training and motivational skills

• Excellent communication and interpersonal skills, with strong computer skills

• Posess own vehicle with valid license is a plus

Job Responsibilities

1. Perform administrative tasks including keeping record of the contracts and agreements, maintain Operations documentations and fleet management records.
2. To monitor closely the day-to-day functionality of the vehicles and provide support to the Operations in liaising with sales, logistices team and customers on operations matters when necessary.
3. Responsible in preparing quotations and invoices.
4. Assist and support Sales Representative on customer queries in relation to order fulfillment documentation aspect.
5. Assist in operations updates, routing planning for the vehicles to achieve optimization.
6. Assist in general comminucation with customers on arrivals and necessary updates over phone.
7. Assist in marketing updates, partipate in marketing campaines and organizations

Job Requirements

• Fluent in English, Mandarin, some malay and dialect is an advantage
• Good in spoken comminucations with customers and co-workers
• Able to speak, read and type Mandarin
• Good interpersonal skills in handing general enquiries
• Eyes for details, meticulous and initiative self driven
• Able to solve problems indenpently and complete tasks assidned
• 2 years experience in office admin and operations work is preferred
• Proficient in Microsoft Office
