Key Responsibilities:

1. Company Incorporation Services: Work with the full spectrum of corporate secretarial duties, including company incorporations, registrations, and ongoing client matters.
2. Client Consultation and Onboarding: Support the onboarding process for new clients, assisting with due diligence and Know Your Customer (KYC) procedures.
3. Nominee Director Services: Act as a nominee director for client companies, fulfilling all legal and fiduciary responsibilities.
4. Compliance Oversight: Ensure compliance with all statutory and regulatory requirements for company incorporations. Assist with maintaining accurate and up-to-date KYC/CDD information for client relationships.
5. Stakeholder Communication: Contribute to effective communication with clients and regulatory bodies (e.g., ACRA/IRAS) under the guidance of the senior team.
6. Business Development: Assist the sales and marketing teams with tasks related to attracting new clients for company incorporation services.

Requirements:

• Qualified individual to be local/nominee director

About the role

Reporting

• Manage weekly and monthly sales reporting to internal teams, including SKU, SEA Sales Report, NPD, and Stock on Hand (SOH) reports.
• Track sales performance for sales team against targets on a weekly basis.
• Tabulate and update SOH to identify potential stock-outs for sales orders.
• Collect and summarize competitor reports from the sales team on a monthly basis.
• Perform market research and analyze marketing-related reports as required.
• Assist in preparing global and regional meeting decks and ad-hoc global reporting.
• Update the monthly CRM report for all 3 markets based on the provided template.

Trade Marketing/Retail

• Track the sales performance and rostering of 2 Singapore-based Brand Ambassadors.
• Coordinate with all suppliers for Singapore trade events and retail seminars.
• Submit new launch information to retailer portals in a timely manner to ensure product readiness.
• Plan and consolidate trade and promotional event (including masterclasses) templates for all 3 markets.
• Consolidate post-event reports for trade and promotional events (including masterclasses) to be submitted to the team.
• Own and coordinate 2 Sephora Press Days.
• Coordinate the dissemination of all materials (deluxe, TOA, collaterals) to stores for Singapore trade events.

Administrative

• Raise purchase orders in NetSuite and update the retail staffing/marketing OPEX live tracker.
• Coordinate major meetings.
• Manage office administrative tasks such as repairs, maintenance, IT support, and supplies.
• Assist with team activities.
• Coordinate quarterly allowance for office staff and 2 Singapore-based Brand Ambassadors.

Procurement - Vendor Management:

• Identify and establish relationships with key suppliers and vendors.
• Negotiate contracts, pricing, terms, and conditions with suppliers.
• Evaluate and monitor supplier performance to ensure compliance with contractual obligations and quality standards.

Procurement - Purchase Orders and Inventory:

• Prepare and process purchase orders and requisitions.
• Maintain accurate records of purchases, pricing, and other important data.
• Monitor inventory levels and conduct regular stock audits to ensure adequate supplies are available.

Procurement - Cost Control:

• Develop and implement procurement strategies to optimize spending and reduce costs.

Administration - Office Management:

• Coordinate maintenance and repairs of office equipment and facilities.
• Main contact person for managing our company driver and dispatch

Administrative - Support:

• Provide administrative support to various departments as needed
• Manage office supplies inventory and place orders when necessary
• Organize and schedule meetings, appointments, and travel arrangements if any

Qualifications:

We are seeking a highly motivated and experienced Senior Sales Support Executive to join our team. What you will be doing

• Sales Support Coordination: Assist sales representatives in preparing quotations, proposals, and presentations. Ensure all SOPs are updated and communicated to the relevant customers. As a Senior Crew Executive, you will manage the day-to-day operations and policies regarding the sea-going staff of heavy-lift crane barges and land-based contract staff. You support our organization’s quality, safety, and environmental management system in the process of continuous improvement. In this regard, you assume responsibility and accountability for supporting and coaching any staff under your care.

Your responsibilities as a senior crew executive (includes but are not limited to):

• Plan, coordinate, and oversee daily crewing functions, ensuring adherence to policies and procedures.
• Develop and implement crewing strategies for recruitment and retention, contract and performance management, disciplinary actions, and all trainings, insurance claims and manage crew budgets.
• Handle crew mobilization and demobilization, including Singapore Work Pass, travel, visas, and accommodations, efficiently and cost-effectively.
• Maintain accurate crew records, ensure timely payroll processing, facilitate logistics for crew changes, and review/approve related invoices for submission to Finance.
