About the role

What you need to know:

• Underwriting support and administration for Underwriting teams for Cargo, Political Risk, Fin Lines and Product Recall. To carry out and assist the Underwriters with the following:
• To ensure all documentation to be scanned and indexed into the DMS system that comes through the Core Team.
• To ensure data entry is in accordance with agreed guidelines, e.g. endorsements, quotes, promise lines

• To process and validate risks signed through Xchanging; validation of all Underwriting Signing Messages (USMs).

• Liaise with UTS, Underwriting, Xchanging and Brokers on processing queries, action and monitor until resolved.
• Identify and liaise with underwriters and chase as appropriate, for partial risks where premium has been processed through Xchanging.
• To ensure that USM corrections are actioned where applicable.

Job duties and responsibilities

You will work in an international team, supporting the CEO with some of his professional tasks. Here are some of the things you will be doing:

• General HR for recruitment process, assisting with onboarding & offboarding, managing employee C&B, managing HR database
• Communication with on-site and remote employees to support them
• Adminstration management of both Singapore and Paris offices, and related third parties service providers
• Provide support, liaison and communicate with investors, shareholders, our legal team and Corporate Secretary.
• Support to check validity of expenses claims format and content.
• Assisting some travel arrangements including booking of airline tickets and accommodation.

Required qualifications

Education

• Bachelor degree in Business Administration, HR or related discipline.

Experience

• Min 3 years working experience as HR or as executive assistant

Knowledge, Skills and Abilities

• Strong organizational, communication and multitasking skills.

Responsibilities:

• Receive and update car arrival
• Check conditions of cars for suitability for retail
• Verify validity of agent warranties and balance of free servicing
• Ensure all cars on-showroom display meet our set standard (ie. display, cleanliness and technical)
• Plan PDI Schedule based on KPI of 7 days from SOLD to DELIVERY
• Perform tyre and battery checks and ensure checklists are duly filled
• Generate Purchase Order amount accurately and promptly for superior approval
• Aftersales (delivery) services
• Accountable for all loan cars and forms
• Undertake to support the smooth and efficient operation of reconditioning chain processes
• Monitor quality, quantity, cost, and efficiency of stock movement
• Liaise and negotiate with customers and suppliers

What’s the role?

Executive Support:

• Manage the CEO’s schedule of appointments, meetings, including travel plans and itineraries.
• Prepare documents and presentations for meetings and conferences as needed.
• Manage expense reports and other financial tasks for the CEO.
• Handle confidential and sensitive information with professionalism and discretion.

HR Administrative Support:

• Manage the office’s administrative functions, including the upkeep of office space; liaising with vendors whenever necessary; administering the software applications used by the team across all business units, and be the first point of contact in handling office enquiries.
• Screen and prioritize calls and emails, responding to inquiries and directing messages appropriately.
• Taking notes or meeting minutes during meetings, whenever deemed necessary.
• Plan and organize office events, meetings and other functions as needed for senior management or employee engagement related matters.
• Organize and maintain private and confidential personnel files, records, and databases, ensuring all documents are up-to-date and secure.
• Prepare draft contracts and letters as required for the people operations team.

• Conduct relevant research on employee engagement, compensation and benefits, government grants where applicable if deemed beneficial for the business.
• Develop and maintain relationships with key stakeholders, including candidates, employees, vendors, clients and other external parties.
• Assist with other tasks and projects as required by line managers and senior executives.

Who are we looking for?

• Bachelor's degree in Business Administration, Office Administration, Human Resources or a related field preferred.
• Minimum 3 years of experience in a similar role, with specific experience supporting executives a plus.
