Main Duties and Responsibilities

We are seeking a detail-oriented and passionate Sales Coordinator to join our pre-opening team in Mandai Rainforest Resort by Banyan Tree.

Reporting to the Assistant Director of Sales and Marketing, the incumbent will be the primary point of contact for our clients planning events at our Resort. You will be responsible in working closely with our clients to ensure events runs smoothly.

Key Responsibilities

• Meet with clients to understand their event needs, preferences, and budgets. Provide guidance on catering options, venue selection, and logistical details.
• Create detailed event timelines and coordinate all aspects of the event, including catering, decor, audiovisual needs, and seating arrangements.
• Liaise with external vendors (florists, DJs, photographers, etc.) to ensure all services align with the client’s vision and Resort standards.
• Oversee events on the day of, ensuring everything runs according to plan. Address any issues that arise promptly and professionally.
• Assist clients in developing budgets and providing accurate quotes
• Maintain clear and consistent communication with clients, the catering team, and other Resort’s departments throughout the planning process.
• Conduct post-event evaluations with clients to gather feedback and build lasting relationships for future events.

Job Requirements

• Degree or Diploma in Event Planning, Hospitality Management or a related field.
• Minimum 1 year experience in a similar capacity, preferably in a luxury hotel or resort. Pre-opening experience would be advantageous.
• Excellent interpersonal skills, coupled with a well ingrained sales & service mindset
• Able to handle matters independently, and able to exercise self-motivation to complete projects.

MAIN TASKS AND RESPONSIBILITIES

SEEDING & PRESS RELEASE

• Work hand in hand with PR Manager on the seeding strategy to influencers and medias to increase Guerlain’s awareness on all launches. Executing all seeding deliverables for new launches, campaigns/ festivals for Local Market.
• Ensure all seeding quantities and inventories are available in a timely manner.
• Adapt and disseminate Press Releases to localized version with price in SGD and check availability on new launches for all boutiques and stores. Assemble press kit for all new localized information to disseminate to media lists.
• 1-to-1 Media pitch targeted stories and send gifts to build robust relationship with key media/ KOL contacts.

EVENT MANAGEMENT

• Source, plan and liaise with third party suppliers (i.e. floral, F&B, activity vendors) for the execution of PR events.
• Manage the preparation of logistic arrangement for PR events including set-up, gifts arrangement with AOG (Art of Gifting), RSVP list and follow-up post-event contacts.
• Assist in planning, coordinating, executing events i.e. key launches/ trade/ in-store events for Media/ KOL or involving media front (e-symposium).
• Organize media / KOL interviews with internal spokespersons in HQ

ADMIN SUPPORT AND MONTHLY REPORTS

• Monitor media coverages for every activation/ launches/ campaigns/ events.
• Submit monthly PR clippings and weekly newsletter to regional PR team.
• Monthly internal report to measure effectiveness of media/ KOL engaged, organic coverage, gift tracking.
• Competitor analysis: Always be at the top of the game! Check out which media/ KOL that are relevant with high influencing power engaged by competitor brand and work hand-in-hand with CRM and Trade interns for monthly competitor report.
• Admin support: Ensure smooth delivery for seeding, arrange meetings with key KOL and Media, support internal marketing team with proper documentation for any inventory orders/ gift tracking, events flow and rundown, extra support in events when needed.

CRM

GUERLAIN & YOU LOYALTY PROGRAM

• Manage the loyalty rewards catalogue and prepare brief to agencies for artwork changes. Ensure all deliverables are met within the given timeline.
• Manage inventory of Loyalty Gifts and ensure availability of gifts at stores.
• Update all other G&Y collaterals in a timely manner.
• Submit monthly CRM report to internal stakeholders for review.
   

EMAIL CAMPAIGNS

• Manage EDM calendar for tactical campaigns and new launches, including setting up of campaigns with minimal changes.

CLIENTELING/ TRADE

EVENTS

• Conceptualise and execute planned activations to ensure client satisfaction and positive event ROI. Provide on-the-ground support for all clienteling events.
• Work closely with internal team to source vendors, manage logistics, timeline and other details (eg. Transporation and F&B).
• Lead event briefings for internal team and ground staff, ensuring close communication with all stakeholders leading up to events.
• Lead monthly deployment of upcoming month’s events at all stores.
• Submit post-event reports to internal stakeholders for review.

TRADE

• Work closely with internal team to source vendors, manage logistics, timeline and other details (eg. Transporation and F&B) to create successful client events.

• Ensure all store collaterals and price lists are updated in a timely manner.
• Submit post-launch reports to internal stakeholders for review.
• Provide monthly updates on competitor landscape.

GENERAL MARKETING

• Provide day-to-day marketing and operational support for the Singapore Marketing Team.

• Prepare newsletter detailing key competitor animations to ensure the team has the latest market information.
• Follow-up on China local market activities: Little Red Book, Tmall, Weibo.
• Mystery shopping in local market to monitor competitor animations.
• Conduct in-depth research about industry best practice in terms of trade retailtainment and customer journey innovation (ability to leverage on Chinese sources would be an advantage).

1. TRANSLATIONS
   • Create Chinese translations for regional GWP showcards.
   • Support the Trade Marketing Executive in Chinese-English translation.
