Role Summary

Handle full set of shipping (import and export) documents.

The ideal candidate is detail-oriented and responsible and can work in a fast-paced environment. They should have some experience in handling shipping documents (such as letters of credit negotiation, bill of lading); bulk/container shipment for physical commodity; and laytime, demurrage and dispatch claims.

Requirements:

• Bachelor's degree or Diploma in accounting, finance, or similar.

• A minimum of three years' experience as a management accountant in a related business and/or conversant in managing budgetary and forecasting exercise in a Group / Conglomerate / Organization with multiple Business Units (BUs).
• Comfortable and proficient with Segmental & BUs analysis, as well as complicated subsidies and rates variance analysis.
• Able to lead in a small team setting with tight deadlines.

• Responsibilities encompass the promotion of Shipping Agency Services and involve:
  – Actively pursuing business leads to foster business growth.
  – Providing assistance on tasks such as PDA/RFQ/Inquiries as assigned by the Commercial Manager/Business Manager.
• Execution of operations related to assigned vessels, including:
  – Managing and overseeing daily vessel operations/activities in Singapore as the primary point of contact (Integrated Solutions).
  – Participation in operations-related meetings and reviews associated with the handled vessels.
  – Collaboration with Operations, Disbursement, and Credit Control Departments to ensure efficient services for all customers.
  – Coordination with relevant departments and other company offices as needed.

Requirements:

• Minimum Qualification: Diploma in Shipping/Logistics.
• Specialist Knowledge: Shipping Agency.
• Strong communication skills.
• Minimum 2 years of shipping-related experience, preferably in Shipping Agency & Operations.
• Other competencies include effective communication skills, good commercial acumen, and effective interpersonal skills.

Key Job Responsibilities include:

Reconciliation of Statement of Accounts (“SOA”) from vendors

• Follow up with internal stakeholders to ensure invoices are recorded.
• Liaise with vendors to resolve any discrepancies.

Computation and review of vendor rebates

• Work with Procurement to obtain clear understanding of rebates structure with different vendors.
• Check accuracy of rebates issued by vendors via credit notes.
• Issue and send debit notes to vendors for rebates if no credit notes are received.
• Record rebates in the accounting system.

Invoice and claims processing

• Receive invoices for head office or petty cash claims.
• Review supporting documents and obtain approvals for costs.
• Post invoice/ claims in accounting system.

Payments

• Collate AP invoices due for payment and review net payment amounts.
• Send payment advices to vendors as necessary.
• Check and send petty cash claims to AP Supervisor for review and approval.
• Upload and clear petty cash payments.
• Assist with scheduling payments to vendors and support cash forecast estimates relating to payments.

Job Requirements:

· Diploma in Accountancy or equivalent.

· Min 5 years’ working experience in a similar role.

· SAP working experience/ knowledge is a must.

· Background in F&B / FMCG industry or shared services environment preferred.
