Role Responsibilities

Job Summary

This role will report directly to the MD, Head of Business Enablement & Change, TB and matrix to the Transaction Banking COO. The role holder will participate in TB Management Team meetings and be a member of the TB COO Management Team. As a critical role within the TB Business Enablement and Change function, the holder will have full responsibility for supporting the Global Head of Transaction Banking in key business planning, people activity, identifying opportunities for improvement, tracking performance & closure of critical business issues.

The role holder will play a pivotal role in shaping and executing the vision of TB, driving and managing key initiatives, leading the Business Management function for TB, and serving as a trusted advisor and liaison for the Global Head of TB.

The role holder will bring a strategic mindset, strong problem-solving skills, and an ability to think big picture. The role holder must be adaptable, comfortable dealing with ambiguity, and capable of building strong stakeholder relationships across TB.

Responsibilities

Representation for Global Head of Transaction Banking

· Leadership role providing representation for, and acting as an escalation point for the Global Head of Transaction Banking.

· Provide strategic support, coordination and decision facilitation for the Global Head of Transaction Banking.

· Act as key point of contact between the Global Head of Transaction Banking and internal stakeholders (including TBMT members) facilitating engagement, communication, challenge and ensuring alignment.

Business Management

· Prepare and present materials and analysis to support discussions, inform critical decisions, inform management reviews and update stakeholders across CCIB.

· Oversight and coordination of preparation of materials for governance forums attended by Global Head of Transaction Banking (e.g. CCIBRC ,CCIB MT, TB Governance Forums).

· Track priority actions assigned to the Global Head of Transaction Banking and ensure timely completion.

· Ensure timeliness and accuracy of all materials produced, ensure appropriate review, challenge and follow-up in relation to materials produced for Transaction Banking and CCIB meetings.

· Develop and track key measures of performance and success, to drive continuous improvement, business optimisation and innovation for Transaction Banking.

People and Talent

· Lead the design and delivery of Management Team meetings, ensuring effective meeting agendas, location and facilitation.

· Lead the design and delivery of the annual Transaction Banking Leadership Team face-to-face meetings and conference, ensuring the off-site is effective, engaging, and meets strategic objectives.

· Handle sensitive information and situations, ensuring effective response and resolution. Work to solve problems, reconcile any disagreements, and deal with issues before they are brought to the Global Head of Transaction Banking.

· Gain the trust of stakeholders, to play a key role in delivering a high-performance team culture across Transaction Banking.

Stakeholder Management

Major Accountabilities: Strategy & Planning

• Work closely with Department Head/Leadership team and support with the implementation of the business plan, highlighting potential HR-related business opportunities or weaknesses.

• Support in the operational conversion of the strategic goals.

• Proactively build and establish strong relationship with all departments as well as the extended HR community to understand their needs, requirements and challenges.

• Support and execute tactical workforce planning in alignment with the departments Business plan.

• Support the annual budget planning discussions.

• Provide change management support in transformation and restructuring efforts in accordance with Company’s direction.

• Ensure recruiting and retention of the right talent for key positions at predefined level within the department

Monitoring & Control

• Contribute to personnel cost planning, performing periodic cost and productivity analyses to support Finance and the department in maintaining workforce budgets.

• Ensure adherence to relevant labor and employment law.

• Help coordinate procedure and technology solutions to improve data management.

• Ensure compliance with legal framework, Code of Conduct, etc.

• Participate in, or lead, HR Projects.

• Ensure execution and adherence to HR governance, practices and policies, and be the department expert on all administrative practices and policies.

• Compile specified HR Key Performance Indicator (KPI) data and format for reporting.

• Conduct bi-annual HR Audit to ensure compliance and corporate governance People & Organization

• Advise line managers on effective performance management and resourcing decisions; drive Organizational Talent Review (OTR), succession planning and talent management for predefined population, in close cooperation with the respective department heads

• Support line managers in all coaching, mentoring and personal development within their teams

• Ensure effective training and development for all Personnel, following learning priorities and guidelines defined by Corporate and act as channel to communicate learning needs to appropriate departments.

• Support cultural change and foster diversity and inclusion within the organization

• Supports internal communication, especially around HR-sensitive issues (values, advancement, motivation etc)

• Lead, design, develop, pilot and monitor organization-wide processes and initiatives, aimed at building organizational capability (e.g. OTR, career pathways)

• Consult HR Director on developing strategies, leadership, culture, structures and employee motivation, on managing change and acquisitions and bringing innovative ideas and solutions

• Contribute to building capability and readiness of the line management and HR organization in change management skills, experience and expertise

The Regional Service Manager is responsible for leading the service team with facilitating the processing of service tickets from start to finish for our clients with the utmost sense of urgency, professionalism and high quality required by our brand.

The Global Service (GS) Department is made up of a Global Service Manager based in the US, Regional Customer Service Managers based in the US, Singapore and the UK, with first line service receiving and dispatch being handled by the regional Customer Service Operators.

DUTIES

• Be responsible for the performance of the service execution globally on a day to day operational basis, with emphasis on the US region.
• Responsible for recruiting, training, day to day management, performance, development, and career progression of the US Customer Service Operators.
• Oversee all service tickets on a global basis to ensure that Service Level Agreements (SLAs) are met and are dealt with professionally and efficiently.
• Where necessary, intervene and take ownership of individual service tickets regardless of completion of region to ensure customer satisfaction.
• Provide weekly reports and metrics to clients, management, and internal stakeholders providing status updates of all ongoing service
• Proactively heading off potential problems ahead of time.
• Be the escalation point for clients and where necessary formulate and execute mitigation plans for service calls.
• Be the single point of contact within region to our clients for all strategic service matters and to hold regular face to face client meetings to ensure customer satisfaction.
• Hold weekly meetings with GS to review on-going global service calls, provide support, assistance and guidance to all global operators where necessary.
• Where needed, create and provide quotes and proposals to clients.

• To plan and schedule Routine Inspections (RI) of client sites.

• Maintain and develop relationship with Local Service Partners maintain the Local Service Partner database
• Contribute to, and execute, the Global Service medium to long term strategy including department goals, vision, organization, processes and tools

REQUIREMENTS

• Associates degree or equivalent experience.
• 5+ years customer service experience.
• 2+ years leadership experience.
• Ability to multi-task in a fast-paced environment.
• Strong knowledge of computer operations and applications, including MS Office, Internet Browsing, and the ability to quickly understand security systems.
• Experience in dispatching or security industry environment a plus.
