Programme Management:

The Administrative Executive ensures smooth administrative and operational support for the Canossian Child Development Unit (CCDU), which provides therapeutic care to children and families in the Canossian Village and other schools. This role involves coordinating with professionals, families, and schools, preparing funding reports, managing inventories, and maintaining efficient administrative workflows to ensure efficient service delivery.

Work Functions

1. Administrative and Data Management

GENERAL SUMMARY
The Admin and Finance Executive is responsible for administrative and finance duties, providing support to SRSF as well as supporting HCSA central corporate service functions. Administrative responsibilities include supporting tenancy administration, receptionist and office.
The Admin and Finance Executive will also be responsible for supporting the central Finance function of HCSA Corporate Services at SRSF, integrating into existing processes and systems in the areas of Accounts Payable, Accounts Receivable, General Ledger, preparing accurate financial and management accounting reports to HDB according to the accounting standards and related statutory and other regulatory requirements in Singapore.

DUTIES AND RESPONSIBILITIES

Finance

1. Process all payments to HDB and other suppliers and vendors in a timely manner

2. Prepare and submit in a timely manner, accurate payment claims to funder and to monitor receipt of payment due to HCSA

3. Reconcile and ensure that payment made to HCSA is accurate based on number of live Tenancy Agreements or any other agreed-upon basis per Contract

4. Collection of rent and other fees from Authorised Tenants/Authorised Occupiers and follow-up with debt-collection

The Operations Executive does this through management of Authorised Tenants / Authorised Occupiers, management and maintenance of the facilities, attending to security and safety issues as well as conflict, incidents and accidents.

DUTIES AND RESPONSIBILITIES

Authorised Tenants/Authorised Occupiers Management

1. Welcome new residents and assist with the check-in/out process

2. Address residents'/clients’ inquiries, concerns and feedback promptly, referring and/or escalating through the appropriate channels where necessary

3. Assist to organize and coordinate resident activities and events to promote a sense of community

4. Maintain clear and open communication with residents, staff, and management, facilitating empowerment of Authorised Tenants/Authorised Occupiers to advocate for themselves in a respectful manner, mindful of the broader community, working towards global objectives of SRSF

GENERAL SUMMARY

The Senior Social Worker is a full-time social worker who implements activities and interventions as directed by the Residential General Manager and conducts referral services with the support of social work team. Case Management

1. Intake – interview and allocate residents to suitable rooms based on their profile

Discharge planning and exit interviewsincluding preparing residents for eviction (subject to approval by Housing Development Board (HDB) and initiated only as a last resort) and working with relevant social agencies / MSF (Ministry of Social & Family) for shelter accommodation for residents before eviction

7. Record keeping, documentation and data entry

Administration and Facilitation of programmes

1. Organise and facilitate programmes to build Authorised Tenants / Authorised Occupiers’ stability, self-reliance and social mobility – e.g. community empowerment and townhall meetings, art and creative expression, community gardens, life skills workshops etc

2. Advocacy for relevant social issues pertinent to users served by Single-Room-Shared-Facilities (SRSF) including initiating and participating in research endeavours

Conflict Resolution

1. Attend immediately to and resolve escalated disputes between Authorised Tenants / Occupiers including making the necessary referrals to other service providers where necessary. To update Administrative & Operations Office for their documentation including action taken and recommendations

Management of Opportunities for Volunteerism

1. Facilitate volunteer initiatives within the SRSF community

The Finance Executive will have a primary focus in AR, AP, deposits and Month-end Closing. The Executive will provide support to the Assistant Finance Manager.

Critical Work Functions

Accounts Receivable (AR)

• Responsible in AR function - invoicing and fee payments for programmes and AR Aging
• Maintain financial records of daily collections and deposits in Quickbooks, including cashiering duties.

Accounts Payable (AP)

• Assist in AP function and AP Aging

Donation/Grant

1. Corporate Image

2. Events & Community Relations Management

3. Volunteer Management

3.1 To develop and implement volunteer management strategies in line with the organisation’s vision and mission.

8. Fundraising and Donations Management

8.1. To propose annual fund raising targets.

8.2. To strategise, plan and organise events to meet fundraising targets. Such events should also be the platform to promote/convey the corporate image of the NH.

8.3. To strategise and value-add to donor management system. To assist with maintaining/improving donors’ relationship.

The Senior/Executive, Community Partnerships shall be responsible for executing programmes pertaining to fundraising and donor, partner and volunteer engagement and management.

This dynamic role requires an individual with strong technical expertise, business analysis skills, and leadership potential. Duties and Responsibilities:

• Co-ordinate and support the use of ICT in daily teaching and learning and school programmes as tasked by school management and HOD (IT).
• Manage and advise the staff on matters pertaining to the school integrated data system, including liaising with the vendor to troubleshoot and provide solutions to issues raised.
• Responsible for insuring the day-to-day operation, reliability, and integrity of the network infrastructure, including installation, maintenance, and management of all data network equipment.
• Provision of users’ access through Active Directory (AD), de-provision and maintenance of users’ accounts.
• Administer and support Microsoft Office365, and the associated emails accounts and mailboxes.

The Community Outreach Executive shall be the key person to drive the outreach programmes. With a view to broaden the reach of Squash to different pockets of society and geographical locations within Singapore, he/she will be working alongside the Events and Programmes team and General Manager, with direction from the SSRA Board.

PRIMARY ROLES AND RESPONSIBILITIES

• Plan and execute squash outreach programmes, with the primary aim to extend the reach of squash to a diverse community.
• Conceptualise fresh ideas on how SSRA can further the reach of squash to different pockets of the community, in concert with the objectives of SSRA, Sport Singapore and Ministry of Culture, Community and Youth (MCCY).
• Champion the programme to extend reach of squash in the National School Games (NSG).
• In running the programmes, work towards having Squash as an offering that is
