Key Responsibilities:

The Sales Admin will play a crucial role in supporting our sales and marketing team by managing administrative tasks, ensuring the smooth processing of orders, and providing exceptional customer service.

This position requires a proactive individual with excellent communication skills, attention to detail, and the ability to thrive in a fast-paced environment.

Administrative Support:

• Attend to visitors, customers and suppliers or contractors at the office premisses.
• Provide general office administrative support to office manager.
• Liaise with internal and external teams to ensure smooth communication and operations.

Customer Service:

• Manage and record customer inquiries, providing information about products, pricing, and order status.
• Assist to address customer issues and complaints in a timely and professional manner.
• Attend to customers at sales and promotions events.
• Maintain positive relationships with customers to ensure satisfaction and repeat business.

Order Processing:

• Process sales orders accurately and efficiently.
• Coordinate with the logistics team and delivery service company to ensure timely delivery of products.
• Manage documentation for all sales transactions, shipment and deliveries.

Sales Support:

• Assist the sales team in preparing quotes and proposals for clients.
• Collaborate with the sales team to gather market intelligence and customer feedback.
• Assist the sales team during sales and promotion events

Database Management:

• Maintain and update customer records in the CRM system.
• Keep track of inventory levels and assist in managing stock levels.

Requirements:

• Min 3 years of experience in sales administration or a similar role.
• Proven experience in sales administration or a related role.
• Excellent organizational and multitasking abilities.
• Strong attention to detail and accuracy in data entry.
• Pleasant disposition and team player.
• Effective communication skills, both written and verbal.

We are seeking a motivated and detail-oriented Quality Management Executive to join our team. The ideal candidate will be responsible for ensuring regulatory compliance, managing quality audits, and improving clinical governance across our healthcare facilities. This role will involve working closely with various internal teams to maintain compliance with healthcare regulations and implement quality improvement initiatives.

Key Responsibilities:

Regulatory Compliance:

· Ensure compliance with relevant Singapore healthcare regulations, including MOH clinical licenses, NEA safety licenses, and MOM safety licenses.

· Oversee the maintenance of NEHR accounts, Medisave account maintenance, and compliance with insurance and NIR (National Immunization Registry) requirements.

· Support clinical teams in understanding and adhering to regulatory requirements by providing training and updates on compliance standards.

Quality Audits & Clinical Operations:

· Plan and conduct quality audits to ensure that clinical operations meet internal SOPs and external regulatory standards.

· Collaborate with clinical teams to continuously improve SOP maintenance and ensure consistent implementation across all clinics.

· Analyze and prepare reports on infection control surveillance, clinical outcomes, and quality improvement programs.

Incident Reporting:

· Manage the incident reporting process, ensuring all incidents are investigated thoroughly and corrective actions are implemented.

· Assist in the handling of incidents, ensuring that all legal and regulatory obligations are met.

Process Improvement & Change Management:

· Work closely with the operations team to identify areas for process improvement and workflow redesign.

· Implement changes in response to new regulations, partner requirements, and evolving clinical needs.

Documentation & Reporting:

· Prepare detailed reports and documentation related to clinical governance, audit findings, and compliance status.

· Assist with literature reviews to ensure quality initiatives are evidence-based and aligned with the latest clinical guidelines.

Requirements:

Experience:

· Minimum 2 years of experience in the healthcare industry, with a focus on quality management, compliance, or clinical governance.

· Prior experience in regulatory compliance, including MOH, NEA, and MOM licenses, is preferred.

Technical Skills:

· Proficiency in Microsoft Office applications.

· Familiarity with Singapore’s NEHR, Medisave, and NIR systems.

· Experience with quality audits, incident reporting, and handling medico-legal cases is advantageous.

Soft Skills:

· Strong analytical skills with the ability to interpret complex data and generate actionable insights.

· Excellent communication skills, both written and verbal, to effectively convey compliance requirements and quality improvements to different teams.

· Ability to work independently and manage multiple projects in a fast-paced healthcare environment.

Job Description:

• Oversee day-to-day operations of invoice/claim processing.
• Liaise with suppliers and business divisions on any discrepancies in invoices and other supporting documents.
• Review reconciliation of supplier statements and payments.
• Ensure compliance of organizational process/procedures.
• Prepare intercompany schedule and GST reports for submission.
• Work as a team within the department to ensure all documents are properly collated for timely submission.
• Assist in ad-hoc projects assigned from time to time.

Job Requirements:

• Minimum 3 years of experience in related fields.
• Degree/Diploma in Accountancy or equivalent professional qualification.
• Experience in handling transactions and/or accounts of F&B industry is preferred.
• Proficient in Microsoft Excel.
• Experience in SAP would be an advantage.
• Positive working attitude, meticulous with accuracy & efficiency.
• Able to get along with others and display good team spirit.
• Able to work under pressure and adhere to tight deadlines.
