(1) PERSONAL ASSISTANT TO THE SECRETARY-GENERAL

The incumbent will act in this capacity as Personal Assistant to the Secretary-General, acting as a sounding board for ideas and ensuring enhanced efficiency and structure across the organisation. S/he is also expected to provide strategic advice and guidance on key developments within the organisation and ensure the appropriate policy approaches are developed to meet IRSG’s mission and objectives. As a result of developing and maintaining research, s/he would be expected to develop initiatives that ensure that IRSG acts as a catalyst for the rubber sector and collaborates with stakeholders on developing evidence-based approaches and support. The incumbent will provide input on strategy and ensure organisational goals are achieved in a well-coordinated, team-oriented manner.

S/he should be able to accurately reflect the Secretary-General’s position in internal and external meetings to help drive understanding of her views. Moreover, s/he works behind the scenes to solve problems, mediate disputes, and deal with issues before they are brought to the Secretary-General. S/he equally ensures Secretary-General’s time is leveraged most effectively in a meeting context; ensuring meeting objectives are realistic and preparations are appropriate.

Work in close cooperation with the Secretary-General and contribute to initiatives for management improvement by capturing, institutionalizing, and sharing best practices and lessons learned. Implement and/or recommend management improvements to enhance productivity and performance including the implementation of cost-saving strategies.

(2) CONTRIBUTION TO RESOURCE MOBILIZATION EFFORTS OF THE IRSG SECRETARIAT

Work with the Secretary-General and the Secretariat in mobilizing resources and engage in building partnerships with donor and member countries, UN agencies, development financial institutions and global programme partnerships, at global, regional, and country levels.

Under the supervision of the Secretary-General, the incumbent supports overall effort to build partnerships, reporting functions, and mobilize an appropriate and sustainable funding base for IRSG from traditional and non-traditional sources. S/he will support the Secretary-General in developing partnerships building, donor mapping, and resource mobilization strategy, tools and procedures and coordinates their implementation including development of quality proposals, presentation and briefing papers to donors.

RESPONSIBILITIES

THK Disability Services currently operates five long-term residential care programmes and three centres. The Service aims to provide persons with intellectual disabilities with the highest possible quality of life, especially in the areas of health and well-being, participation, independence, decision-making, and societal inclusion. Structured programmes are designed to suit beneficiaries of different age groups and profiles to train and develop capabilities in self-help, community living, socialization, perceptual-cognition, and motor skills. As an Operations Executive, you will be involved in ensuring the welfare, safety, and care of our beneficiaries in the following areas.

A Day in the Life

• Plan work scheduling for event / special projects set-up
• Attend tender briefings and assist in tender preparation, submission and presentation
• Gather costing by requesting for quotes from suppliers on product materials, based on clients’ specifications
• Negotiate best quotations with suppliers
• Prepare BOQ (breakdown of quantity) and PR (purchase requisition)
• List down materials/ fittings/fixtures are required
• Submit best quotes for sales to determine selling price
• Submit material samples for clients to review
• Manage clients’ expectations and provide information and support whenever necessary
• Time management and push execution of scheduling
• Brief and liaise with suppliers on projects’ requirements
• Conduct quality checks on quality of build/fabrication by suppliers to ensure it is in accordance with specifications
• Conduct site audit and measurements
• Site management and co-ordination
• Prepare quotations and progress report for clients
• Client servicing on clients’ feedback, request for additional items and placement of fixtures
• Manage and close projects within stipulated timeline
• Overseas short-term assignment or long term secondment (Asia) may be applicable depending on project

What we are looking for

• Minimum Diploma or Degree education
• Minimum 2-5 years of related experience preferably in construction / events / project management

Responsibilities:

The incumbent will be responsible for the proper efficiency and profitable functioning of the kitchen department. Assisting the Executive Chef managing and monitoring the kitchen operation. Guiding the Sous Chefs to achieve continuous improvement. He will be responsible for but not limited to the following culinary operations:

• Supervises and monitors the quality of all food prepared in the kitchen under supervision of Executive Chef. Checks constantly for its taste, temperature and visual appearance. Makes sure that all dishes are uniformed and that established portion sizes are adhered to. (Tastes all food being prepared and insists on top quality.)
• Coordinates closely with the Chef de Cuisine/Specialty Chef in determining quality and quantity of food material to be purchased and prepared. Keeps a close watch over all material used with a view of eliminating waste and spoilage, especially meat, fish, products. Inform the Chef de Cuisine/Specialty Chef immediately on bad products. Provides constructive feedback to staff.
• Assigns in details, specific duties to Sous Chefs or subordinates and instructs them in their work. (Checks the work and makes sure all orders are carried out as specified).
• Discusses with the Executive Chef and recommends menu price adjustments when necessary. Determines prices of unlisted food items in conjunction with Executive Chef and Director of F&B.
• Studies the menu engineering and sales statistics in depth, to amend the food offerings as per guest’s preferences
• Insists on personal cleanliness and proper discipline of all employees under supervision.
• Checks maintenance of all equipment located in the areas under supervision. Makes every attempt to prevent damages or losses of equipment. (Instruct staff on how to use the equipment correctly).
• Prevents the use of spoiled or contained products in any place of food preparation and prevent employees who are ill or suffering from an infection from taking part in the preparation or handling food. (Keeps constant watch on food prepared in all kitchens, checks receiving)
• Conducts market analysis and follows the market matrix or customer satisfaction survey to always develop and improve division service delivery.
• Makes suggestions to the Executive Chef concerning product enhancements / savings / other improvements
• Has a strategic plan to analyze and subsequently reduce food waste
• Monitors the hygiene and maintenance standards in all kitchen areas
• Conducts daily briefing and de-briefing in the absence of the Executive Chef
• Identifies and solves problems in a professional manner.
• Provides assistance to the staff when required during peak periods.
• Conserves energy and water at all time by not decreasing guest comfort and cleaning efficiency.
• Manages wastes and raises environmental awareness of staffs to change their behavior to carefully use all resources.
• Conducts, in coordination with the Executive Chef such functions as interviewing, hiring, employee orientation, performance appraisal, coaching, counseling, and suspension if necessary to ensure appropriate staffing and productivity. Consults with Food & Beverage Department Heads and Personnel Manager, as appropriate, in performing above duties.
• Schedules working hours of all Kitchen staff with Executive Chef, taking into consideration the volume of expected business.

Requirements:

• A graduate from a well-known culinary institution is highly desirable
• Minimum of 5-7 years of experience in kitchens covering all aspects of cooking. Exposure to exotic cuisines will be a strong asset
• Must have culinary experience in Mediterranean cuisine(French/Italian/Spanish /Moroccan) food
• Preferably with banquet experience
• Prefer Michelin star experience
• Solid managerial experience and knowledge in kitchen operation. This includes the knowledge required for management of people, complex problems, food and beverage management and food sanitation.
• Fully aware of HACCP principles
• Have excellent English communication skills both in written and spoken
• Computer literate

Permanent Facilities Engineer position

Salary: up to $5000

overseeing overall building maintenance and security operation for all Central Offices, includes conducting inspection, coordinating maintenance/ improvement programs and projects, compile data for reporting and forecasting future needs and costs

Assist in operations and implementation of facilities management programmes, including formulating programmes relating to routine and periodic maintenance works, plan and implement the cyclical replacement/ enhancement works for all Central Offices

• Support Manager for preparation of operation and capital budget, monitoring and control to ensure completion within time and cost objectives.

• Assist in contract administration and management, including calling, evaluation, negotiation and award recommendation of tenders/ quotations.

• Support the effective planning and management of activities of outsourced service partners, providing supervision and controlling their performance

• Coordinate with internal associate engineers and the appointed managing agent to ensure maintenance of all systems are being carried out according to plan and contracted scope of work and manage facilities related to timely repair and replacement work.

• Assist to investigate, develop and implement solutions, trouble shoot on day to day operational problems of facilities and building.

• Assist to develop and implement policies, protocol and procedures to maintain full compliance with the prevailing legislative acts and regulatory requirements.

• Conduct periodical quality control inspections at all Central Offices for potential safety hazards and unsafe conditions, initiate corrective measures to maintain a secure, safe and healthy work environment

• Attend to all emergency/crisis on and off hours and provide a timely response to incidents as they arise and assist in emergency management and contingency planning.

• Assist in internal and external audits.

• Diploma/ Degree in Electrical/ Mechanical/ Facilities Management/ equivalent with 4-5 years experience
• Well versed in all facets of facilities management with general knowledge of all real estate functions including planning, development, asset management and project management.
