• Degree in Human Resources, Business Administration, or relevant discipline

• Strong analytical skills and proficiency in MS Office

Responsibilities

HR

• End-to-end recruitment includes posting advertisements, coordinating with external agencies, scheduling, interviewing, preparing offer proposals, and employee onboarding.
• Offboarding for resigned and terminated employees and expatriates.
• Payroll – incentive and overtime calculation, social security, provident funds, reconciliation, tax filing.
• Compensation and benefits – insurance renewal and enrollment, claims submission and administration, leave management etc.
• Organize internal and external employee training courses and evaluations.
• HR reporting and administration – work passes matters, internal and external report submission, preparation of letters, maintaining employee records.
• Support employee performance review and annual salary review activities.
• Review and update employee handbook in accordance with local legislation.
• Organize staff activities.
• Support Indonesia branch on HR management.
• Other ad hoc duties as assigned.

General Affairs

• Act as point of contact for correspondence with government agencies.
• Office administrative duties – document filing, equipment maintenance, courier services, business travel arrangements, pantry and stationery.
• Responsible for office lease renewal and relocation.
• Liaise with IT team on setup, maintenance, and support.
• Coordinate ISO renewal and recertification as Management Representative.
• Other ad hoc duties as assigned.

Requirements

• Candidate must possess at least a Diploma in Business Management or any other related field
  Candidate must have at least 1 years of relevant HR experience with good knowledge of MOM regulations and Employment Act

About The Job

The Senior Officer will be part of SUSS's HR shared services team, offering HR administrative support to the university.

Key Responsibilities

Training administration

• Verify and approve employees’ training-related reimbursement claims using the SuccessFactors (Rhombus) system, including course fees, professional membership fees, FDS related expenses and etc.
• Address staff inquiries regarding training administration and reimbursement claims.
• Verify and process payment for training-related invoices, such as venue rentals, catering, and workshop fees, through the SAP system.
• Coordinate with external training providers to register employees for training.
• Manage training grant applications, including absentee payroll, through the Enterprise Portal for Jobs & Skills.
• Maintain accurate training details and records in SuccessFactors, including adding new courses/schedules and updating staff training hours.

HR Admin/Operations

• Manage offboarding processes for employees, including leave balance calculations, system operations, and related tasks.
• Handle HR administrative duties, including mail collection, stationery management, requisitioning HR supplies, and distribution of jackets/polos to staff.
• Provide backup support for team members in tasks such as contract renewals and adjunct payment processing.
• Undertake any ad-hoc tasks as assigned.

** The busiest period for this role occurs annually in December.

Job Requirements

• Diploma in Human Resource Management or related field, or equivalent experience.
• Minimum of 1 year of practical experience in HR operations/administration or a related role.

Job Description

• Handle recruitment pertaining to advertisement, application screening, and interview arrangement.

Recruitment

Coordinate employment cycle related activities

Payroll

Be the first point of contact for employee's inquiries on HR-related matters and assist their inquiries

Administer the leave module under HRIS, provide leave balance

Events

Support for projects and organise events, staff gathering/team building/retreat

Education & Experience

Have a local diploma certification or bachelor's degree

Minimum 2 years of experience in Human Resource and childcare centre/preschool setting

Preference given to candidates with related work experiences in Singapore

Proficient with Microsoft Office software, electronic devices, multimedia producing software, and trending social media apps
