The Role

We’re looking for an Office Administrator who is highly responsible, organised and detail-oriented individual who enjoys working in a fast paced environment. In this role, you will be responsible for maintaining a smooth and efficient operational office environment, fostering positive relationships with all stakeholders, and contributing to continuous improvement through your administrative expertise. 

Key Responsibilities:

1. General Office Management:

9. Human Resources Support:

What working with us look like:

• In your first month, you would have onboarding and support for the normal admin tasks while observing and digesting the various processes. By the end of the first month, you would have an overall basic understanding of the admin tasks and the Company’s internal structure.
• By the second month, you would be handling tasks on your own with some support for this familiarisation period. We’ll figure things out if you face any challenges.
• By the third month, you would own the admin functions. You will be able to propose new processes that enhances the overall productivity of routinised admin tasks. 
• We’ll have a check in review in your 3rd month. And an official review in your 6th month.

The Role

The Director of Sales and Marketing is responsible for planning and implementing sales, marketing programs, both short and long term, targeted toward existing and new markets by performing the duties personally or through the Sales & Marketing team. 11. Represent the hotel at Trade Shows, Sales Calls & Conferences to promote the hotel and its products whilst seeking new business opportunities.
12. Prepare periodic sales report showing sales volume, potential sales and areas of proposal client base expansion to evaluate production and plan for future sustained business.

• Preparation and review of monthly accounts reconciliations and schedules.
• Assessment of the monthly inventories aging report to ensure the adequacy of Net Realizable Value (NRV).
• Oversight of the chart of accounts, including consistency checks, control account creation, and archiving.
• Assisting in the annual policy renewal review.
• Providing support during audit reviews.
• Ensuring compliance with accounting standards.
• Handling the Annual Statutory Accounts and XBRL filings.
• Reviewing GST submission workings and conducting GST reconciliation tests.
• Reviewing and maintaining records for capex related to new or replacement fixed asset requisitions.
• Managing the asset register.
• Assisting the reporting team in formulating budgets and forecasts.
• Preparing and finalizing budget and forecast documents.

• Address customer needs in a professional and timely manner to ensure that the vehicle turnaround time aligns with established guidelines.
• Perform quality checks and offer expert recommendations for necessary repairs, body and paint work, or servicing, ensuring adherence to manufacturer standards and guidelines.
• Oversee and manage day-to-day operations in the workshop, emphasizing efficiency and productivity.
• Ensure compliance with health and safety regulations, creating a secure working environment for all staff and visitors.
• Support the Immediate Superior in handling initial levels of complaint cases, including meeting with customers, generating and assisting in inventory management, backorders, and overseeing tools and workshop equipment.
• Manage customer inquiries and complaints, maintaining a high level of service quality.

• Diploma in Mechanical Engineering or equivalent.
• Minimum 3 years relevant working experience in workshop environment / service operation in automotive industry.
• Proactive and independent with positive attitude.
• Class 3 license is a MUST
