Key Responsibilities

• Facilitate and drive cross-functional collaboration in joint purchases through effective communication and influence across internal stakeholders

Accounts Payables Function

• Assist in coordinating the preparation of the departmental annual budget.

• A minimum of three independent genuine quotations must be obtained.
• Establish contracts to ensure reduced pricing for all operating areas of the hotel.
• Receive market list from the Head Chef and arrange for delivery of the items daily.
• Ensure that all orders receiving dates are updated by the buyers according to the vendors/suppliers’ promised delivery dates.

You will ultimately hold responsibility as the Singapore regional logistics order to shipment, subject matter expert. Understanding and representing everything about spare parts order through successful customer shipment will be the focus of this role. Duties involve but are not limited to: shipment monitoring and status, supply chain services, inventory control, WMS / ERP system reconciliation, critical parts availability, B2B order management, shipment of products via approved carriers, and third-party warehousing.

• Support multiple business functions (from Global Customer Care centers to Field Engineers) to assist and resolve spare parts inventory discrepancies by transacting, reconciling, creating manual orders, cancelling orders and intercompany invoices and reversing transactions.

• Resolve receiving discrepancies for inbound customer spare parts returns in a timely manner. Address repeated, systemic issues by identifying long-term solutions.
• Assist parts escalations team for urgent P1 (priority) orders to ensure parts inbounded passes quality inspections, country of origin (COO) and Harmony Tariff Schedule (HTS) codes are loaded in SAP, monitor shipments until order is delivered to ensure it reaches the Field Engineer (FE) in a timely manner.
• Monitor aging inventory – Keep oversight of global inventory locations ensuring material is progressing as expected. Work with Management and key operational stakeholders to resolve any obstacles preventing expected material flow.
• Support user acceptance testing (UAT) scenarios testing for platform updates in vendor program management or internal SAP changes.
