RESPONSIBILITIES

• To create sales opportunities through active follow up of leads obtained through networking interactions and other various sources
• To enlarge clientele list and maintaining the clients database system
• To network and establish good relationship with new and existing clients
• To attend to new and existing clients’ enquiries and requests promptly and converting these leads to sales deals either through own or in a team
• To research regarding client’s needs and participate in brainstorming session with internal team for creative solution, costing and design that can be recommended according to clients’ needs
• To prepare event proposals including creative concepts
• Pitching and managing proposals, including presentation of sales proposal to prospective client, and follow-up to close deals in a tight timeline
• Project management, inclusive of obtaining client’s project requirements, requests and specifications, preparation for quotation and costing sheet, and to obtain contract confirmation
• Manage client relationships – analyse client’s data and purchasing behaviour from CRM, and handle any client dissatisfaction
• To brief Project team & liaise with related parties or to ensure smooth handover of project to execution phase
• To prepare documentation in support of project closure
• Any ad-hoc tasks as assigned

REQUIREMENTS

• Diploma and Degree holders of any relevant field of studies, with keen interest in Event and MICE
• Both Fresh graduates and Experienced candidates are welcome. Salary commensurate with experience.

Job Responsibilities:

• Provide new hires set up including face biometrics and tracking
• Support human resources admin support like Online Foreign Worker Address Service (OFWAS)
• Work with Operations on uniform issuance for new hires
• Support total company training registrations and any related HR operations/ administration duties
• Support employee engagement activities and planning together with the Head of HR
• Propose ideas and execution of corporate events
• Support Townhalls and any relevant office events and initiatives
• Provide secretarial support and manage top management calendar and meetings
• Support travel arrangements and local & overseas claims
• Support management presentation and reporting
• Receive guests and manage the phone system with good telephone etiquette
• Manage office, including purchases, inventory management and office upkeep, season parking, landlord management, mail management, and local & overseas delivery
• Provide facilities management support
• Be the main point of contact for general vendor management relating to admin like FCM and any relevant office vendors
• Follow the company's health, safety and security procedures including reporting any incident in the office to the Head of HSE and Head of Human Resources
• Maintain safe personal presentation standards in the office including as the appointed Fire Warden and First Aider for office

Job Responsibilities & Duties:

• To handle the recruitment and selection process.

JOB PURPOSE

Reporting to the Chief Executive Officer (CEO) and working directly with the Governing Board, the Executive Assistant (EA) is actively responsible for supporting the daily administrative & operational needs of the CEO’s office and managing the CEO’s office. The EA will also function as the Secretariat to the Board and may, where necessary, communicate directly to the Governing Board in matters concerning scheduling of Board meetings and discussions. The EA may work directly with HODs and management.

RESPONSIBILITIES

Executive Support

• Assists the CEO with daily administrative duties and completes a broad variety ofadministrative tasks that include managing an active calendar of appointments.
• Communicates directly and on behalf of the Chairman/CEO with Board members, donors, foundation, staff, and others on matters relate to programmatic initiatives as directed by CEO.
• Supports the CEO in liaising with Board members or committees for Matters Arising, following through all actionable items, updating the records.

Board Support and Liaison

• Coordinate Quarterly Board meetings, maintain confidential files and contact information; conferences, and committees both on and off site to support the Chairman’s and Governing Board’s agenda.
• Supports Nomination Committee / Hon Secretary in maintaining a Register of members, Board succession planning (including keeping track of expiry dates of appointment of Board and Committees) and compliance with Charity Unit (MCCY) filing requirements.
• Assist Chairman to draft letters, including letters of appointment to Board and Committee members.

HR and Admin Support

• Assist with HR-related admin matters e.g. leave module management
• Assist in Corporate Office admin matters on an ad-hoc basis

QUALIFICATIONS

• Working knowledge of Singaporean IPC/charity sector
• At least 3 years of overall experience, with CEO and Board support experience and testimony of being a team player.
• A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making.
